We invest in our people because they are the reason for our success.About the RoleThe Administrative Assistant, Human Resources is an entry level role with a growth opportunity to take on a more generalist or specialist skillset within the HR Department.This position supports the recruitment and employee transactions (new hires, transfers, etc.), licencing, and administrative projects for the HR Operations team. The Administrative Assistant, Human Resources is responsible for smaller unionized sites and the Corporate-Housing portfolio to foster their growth in a complex unionized environment.This is a front-facing position that requires an individual who is highly organized and service-orientated. This position acts as partial back-up for leaves to the Coordinator, Human Resources, and the HR Data Input Specialist.Position Accountabilities

  • Responsible for addressing all recruitment efforts in assigned areas, such as posting, prescreens, scheduling interviews with hiring manages, reference checks and criminal record checks, job offers, and onboarding.
  • Supporting the HR Business Partner in preparing for workforce meetings with assigned sites to determine priorities and staffing needs.
  • Supporting the HR Business Partner with reporting, administrative tasks or other projects as assigned.
  • Processing tickets and transaction in the HR ticketing system as assigned from their sites and to support the HR Data Input Specialist.
  • Supporting the annual licensing and registration process with HCA, LPN, and RN.
  • Ensuring that all bi-weekly HRIS transactions are inputted in Agresso according to Policy, Legislation, and Auditing Compliance.
  • Supporting benefit administration with enrollments, changes, and terminations. May support leave management when required.
  • Ensuring that documents for changes in employee status, benefits and pensions are correct and forwarded to the Payroll Department within deadlines.
  • Ensuring that all HRIS, I Drive, and hard copy files follow privacy legislation and professional audit controls.
  • Supporting annual audits.
  • Supporting reporting of data to HR Leaders as requested.
Qualifications
  • Relevant education in Business and/or HR.
  • Experienced in HR data processing, benefit inputs and/or payroll, preferably in a unionized or multi-site environment.
  • Critical thinking skills and exceptional organizational skills
  • Experience within a ticketing system would be considered an asset.
  • Easily understands data processing systems and has intermediate level experience in Excel.
  • Experience building and improving processes.
  • Excellent communication skills with the ability to collaborate with team members to ensure deliverables are met.
