Our 6,000 faculty and staff foster a vibrant, purpose-driven community, that celebrated 200 years of academic excellence in 2018.Job SummaryThe Postgraduate Medical Education (PGME) Office manages over 50 Dalhousie University training programs with approximately 650 PGME trainees (residents/fellows) located at distributed sites throughout Nova Scotia, New Brunswick and Prince Edward Island. Reporting to the Manager, Verifications & Resident Records, the Verification/Resident Records Clerk will provide administrative support in resident management issues using the Faculty of Medicine’s Resident Management System & Access database. The PGME Office is an environment where the information is of a highly confidential and sensitive nature.Key Responsibilities

  • Act as front line resource person in responding to all inquiries to Postgraduate Medical Education (PGME); sort incoming/outgoing mail.
  • Process and respond to requests for verification of residency training, process various PGME fee payments.
  • Process all matters related to resident record changes using the Resident Management System and Access database; answer routine inquiries relating to all resident changes. Maintain all resident academic files; prepare and send records for off-site storage and recall files when necessary.
  • Ensure all residents returning from leave are registered, have required provincial license(s) and malpractice insurance in place.
  • Assist in annual Postgraduate and University registration and orientation of all postgraduate trainees, enter resident data to the Postgraduate database, prepare and distribute training certificates, contracts and annual renewal forms.
  • Enter personnel changes to the postgraduate database for program directors and program administrators. Track and review bi-annual distribution of Confirmation of Completion of Training (CCTs) and Final In-Training Evaluation Reports (FITERs) for the Royal College of Physicians & Surgeons of Canada & the College of Family Physicians of Canada.

Proficiency in MS Office (Teams, Word, Excel, Access, and Sharepoint), excellent verbal and written communication skills. Demonstrated skills and proven abilities for critical thinking, working independently, prioritizing, routine decision making, multitasking, strong attention to detail, and initiative in a team environment.
