In January 2022 Arup was awarded ‘Britain’s Most Admired Company’ by the publication, Management Today.The RoleWe have an exciting opportunity for an individual to join our Procurement & Software Asset Management (SAM) team, part of the Strategic Partnerships function within Digital Technology (DT). As the procurement & SAM assistant, you will support the end to end process of purchasing IT hardware and software. This will include liaising with vendors to establish good relationships and commercial deals, processing order requests, ensuring goods are received and invoices paid in a timely manner. This position is a key driver in ensuring orders are fulfilled on time and meet specifications, while minimising extraordinary costs.You’ll join a global team with a range of skills and experiences and will work closely with many other functions across DT, as well as the wider company.The role will have a local line manager for day to day liaison and support, reporting into the procurement & SAM service lead who is based in Newcastle.“I have learnt so much in my 3 years at Arup, my previous experience wasn’t in DT, but because of constant support from managers and my peers, I have been involved in successful projects and have progressed quickly. Responsibilities of the role include:
  • Managing supplier invoices - matching to Purchase Orders, coding and seeking approval.
  • Liaising with internal hardware and software champions
  • Building relationships with vendors, requesting quotations and placing orders, following up when required
  • Proactively making use of 90-day agreement renewal notifications to contact users and renew agreements ahead of expiry date, updating Arup’s systems accordingly
  • Preparation of transactional requests, such as PO documentation
  • Monitoring workload queues and actioning all requests in a timely manner, seeking guidance when appropriate
  • Preparing software usage reports, using data from Arup systems, to support software purchase requests
  • Assisting with the preparation and presentation of financial reports or information, to help with budget preparation
  • Following the appropriate regional approval processes for purchasing, liaising with relevant leadership as necessary
  • Sharing and adopting best practice procurement processes
  • Contributing to reports and other documentation
  • Prioritising and organising own work, in line with business demand
  • Supporting the team/group/discipline at internal meetings along with ad-hoc administrative and data entry tasks
