Job Description

DivisionHuman ResourcesTemporary DurationApproximate Duration: 16 monthsJob DescriptionJob SummaryReporting to the Manager, Employee Services Operations, the Employee Services HRIS Representative is responsible for the processing of all employee records related to the movement of Regional employees, including the set-up of all new hires. This role also provides administrative support to the Employee Service Operations Team.Education

  • Post-secondary diploma in Human Resources, Business Administration or related field
  • Post-secondary degree in Human Resources, Business Administration or related field is preferred
  • An equivalent combination of education and experience may be considered.
Knowledge
  • Minimum of 1 years’ experience working within a Human Resources department, focus on recruitment
  • Experience working within a municipal or public sector multi-unionized environment
  • Certified Human Resources Professional (CHRP) is preferred
  • Knowledge of Privacy legislation, Employment Standards Act, and pension and benefits administration
  • Strong working knowledge of Human Resources Management Systems and time entry systems
ResponsibilitiesProvides administrative support to the Employee Services Operations Team by coordinating all administrative processes to manage internal staff movement, new hires, rehires and transfers (65%)
  • Monitors and prioritizes work requests in Incident Monitor system
  • Prepares, prorates, and processes HR/payroll related inputs (accrual banks, pay rates, etc. by established payroll deadlines)
  • Solutions the set-up of exception based employees.
  • Processes compensation and benefit enrolment/setups/changes.
  • Performs pension administration, such as enrolments, setups and changes.
  • Monitors information for compliance to collective agreement, internal policies and other legislation.
  • Investigates entries and reviews output for accuracy, correcting discrepancies prior to payroll submission
  • Follows up with any items identified in audit process (i.e. returned direct deposit due to banking changes)
Processes and maintains employee records in HRIS system and hard copy employee dockets (20%)
  • Creates and maintains employee records in HRIS system, ensuring all new hire, employee transfer, compensation, benefit and pension entitlement information is accurate
  • Enters required support documentation/information, such as licenses, memberships, Criminal Reference Checks, various certifications, education etc., into the HRIS.
  • Sets up and maintain new employee dockets
Process phase 1 of Employee Onboarding for new hires and re-hires, providing information on benefit coverage, pay and related policies (10%)

Provides administrative support to the Employee Services Assistant and Operations Team (5%)
  • Provides backup and support to the Employee Services Assistant
  • Engages with the Employee Services Operations team to identify process improvement opportunities and solutions for problems.
  • Provides support on Employee Services Operations projects as required.
  • Builds strong relationships across the organization to support problem resolution and coordinate project assignments.
