This is a special measure employment equity initiative and candidates from this group who wish to qualify for preferential consideration must self-identify.Job DescriptionThe incumbent is responsible to perform various data entry services and provide general administrative assistance in support of the function. Duties include gathering, reviewing and processing data in computerized system, managing and maintaining several automated filing systems, providing accurate information to customers, suppliers as well as to employees. This job requires knowledge of Technical Services and Delivery Fleet functions in order to support the departments.Job ResponsibilitiesBelow are the main job requirements and responsibilities for the Clerk, Technical Services Support.

  • Responsibility to gather and process readily available information utilizing computer software packages and/or computerized programs. Prepares and distributed various daily, weekly and monthly reports. Prepares spreadsheets and charts. Maintains accurate information on various lists as required.
  • Reviews and maintains accurate records. Assemble, compiles and cross-references all documents to ensure data accuracy and integrity. Verifies various reports, identifies any anomalies and ensures corrective actions are undertaken.
  • Administers and maintains the Time and Leave System for function. Ensures employees receive proper entitlements, monitors absenteeism reports, leave/vacation reports, schedules overtime, maintains seniority lists, identifies anomalies and submits all documents to next level of authority.
  • Investigate, provide, enter and maintain up-to-date data for the Workplace Hazardous Material Information System, to ensure that legally required, due diligence is maintained in the Plant and the garage by; contacting suppliers and/or manufacturers to ensure that existing products have valid Material Safety Data Sheet and are up-dated on a bi-annual basis, maintaining a database and current reference finder for the Plant and Garage to ensure easy access for emergency measures.
  • Orders goods through e-procurement. Liaises with various functional groups with respect to national contracts and supplier agreements; verifies supplier invoices against services provided, resolves discrepancies and ensures prompt payment of all invoices to external supplier. This includes confirming receipt, confirming payment and distributing goods to employees. Purchases Motor Vehicle Inspection Certificates and processes vehicle license renewals for all Fleet units.

  • Acts as travel processor for employees in work group.
  • Sole contact responsible for contacting external suppliers regarding photocopier, fax machine and all general equipment in the work area. Responsible for reporting problems and ensuring the equipment is fixed in a timely manner. The incumbent has authority to sign off on the completed work.
  • Maintains accurate administrative records, organizes efficient filing system, creates new files as needed.
  • Maintains up-to-date knowledge of Collective Agreements in order to avoid potential grievances. Communicate with employees and management in the exchange of information and in providing advice, guidance with matters pertaining to pay, benefits and staffing.
  • Provides administrative support to the functions by performing following duties:
a) Prepare, open, distribute and send mailb) Transcribe correspondencec) Prepares and distributes various reportsd) Coordinates travel arrangementse) Photocopies and fax documentsQualificationsEducation
  • Completion of secondary school according to provincial standards or equivalent (GED) is required
  • Completion of post-secondary (College/University) courses in a related field is required
