We’re a place where you just might be a perfect fit.Our Team:Water Services ensures the delivery of a safe and reliable water distribution system that is capable of meeting peak demands with minimum disruption, and provides dependable storm and sanitary sewer systems by conducting regular maintenance to minimize line or service failure.The Opportunity:Water Services is currently seeking one (1) full time Administrative Assistant. This position performs a variety of duties which include but are not limited to:

  • General administrative support for the Water Services department (answering phones, emails, inter-departmental communications, ordering office supplies, arranging couriers, etc.)
  • Respond to resident requests, answer or direct inquiries, track and manage requests within customer service request software
  • Accounts Payable and Accounts Receivable management including work order cost entry and review, paperwork reconciliation, document preparation and expense tracking
  • Reconcile expenses to maintain records on budget expenditures, assist with purchase order projections and complete quarterly reporting
  • Project budget tracking and prepare journal entry backup for corrections
  • Coordinate and manage membership renewals, training registration/schedule and associated travel and reconcile training expenses
  • Track and order clothing once a year
  • Coordinate meetings and schedules and prepare agendas and record minutes
  • Assist with preparation of SLT and Council reports
  • Input, format, edit, file, photocopy and transmit data
  • Update the departmental website
  • Support departmental procurement needs (requisition entry)
  • Assist with coordination of special events and projects
  • Complete special projects as assigned
You Bring:
  • Certificate or diploma in Business Administration, Administrative Information Management, Office Administration, or a related field
  • Minimum three (3) years’ experience in a related administrative position working in a fast paced operations environment
  • Highly proficient in MS Office Suite with advanced knowledge of Excel and experience with SharePoint, Adobe, databases and aptitude to quickly learn new software and platforms
  • Background in procurement, AP and AR processes would be an asset
  • Proven track record as a confident individual with excellent oral and written communication skills
  • Possess exceptional interpersonal and relationship building skills
  • Attention to detail and high level of accuracy
  • Demonstrated problem solving skills and conflict resolution capabilities
  • Demonstrated ability to prioritize and multitask in a fast paced and varied environment
