Job Description

Otter Co-op is hiring a full time Executive Administrator at our Administration office located in Langley, BC. We operate three food and pharmacy stores (including one with a fashion and hardware department), thirty-one Angry Otter liquor stores, two feed mills, two bulk petroleum facilities, the Angry Otter Tapamp; Forno and Brewery in North Vancouver, the Highwayman Pub in Abbotsford, the Sawbucks pub in South Surrey and twenty-five gas station/convenience stores.   • Provide administrative support for the Senior Leadership team.
  • Coordinate the maintenance of corporate and board policies.
  • Handle sensitive information and confidential board minutes, preparing essential documentation such as draft agendas, updates and reports.
  • Oversee executive team calendars.
  • Compile and analyze data for executive reports.
  • Oversee the coordination of corporate information and record keeping.
  • Take and distribute meeting minutes.
  • Sort and file company information and sensitive documents.
  • Organize and book travel arrangements for Senior Leadership team and other team leaders.
  • Coordinate, schedule and develop meeting agendas.
  • Support office associates and their roles in membership and assisting in maintaining up to date records of member information.
  • Maintain company Service Awards lists and coordinate gifts with team members.
  • Collaborate with the admin team to have seamless office operations.
  • Contribute to the Team in living the Corporate Values of Integrity, Community and Excellence.
  • Perform other duties as assigned.

  • Previous experience as an executive assistant/administrator
  • Tech savy with strong computer skills, including SharePoint, Word, Excel, PowerPoint and email is required.
  • Proven track record to work well independently as well as collaboratively within a team.
  • Ability to work effectively with ongoing interruptions.
  • Exceptional communication, interpersonal and conflict resolution skills (verbal and written).
  • Strong attention to detail and high level of pride in the accuracy of work.
  • Extremely organized, detailed, thorough with exceptional time management skills.
  • Ability to handle sensitive issues in a tactful, discreet and confidential manner.
  • Able to meet tight deadlines and work well under pressure.
  • Must be committed to a SAFE working environment.
  • Able to perform physical job duties including lifting, pushing and pulling up to 50 lbs.
