Job Description

Executive Coordinator – Business OperationsAtlantic Grocery Distributors Ltd. (AGD) is the largest wholesale distributor in the province of Newfoundland and Labrador. Locally owned and operated, our head office is based out of Bay Roberts with a second location (Fowlow’s Atlantic Wholesale Ltd.) in Port aux Basques. AGD is a one-stop distribution centre consisting of over 20,000 grocery and foodservice products servicing over 2,000 food service and retail operations throughout the region.Atlantic Grocery Distributors Ltd. is currently seeking qualified candidates for an Executive Coordinator, Business Operations position in Bay Roberts, NL.The role of the Executive Coordinator of Business Operations is to provide administrative support to senior management from our head office located in Bay Roberts, NL. The successful incumbent must be detail oriented, anticipatory, organized, able to accommodate flexible hours, and work independently in a fast-paced environment while managing confidential information. You will have the opportunity to demonstrate resourcefulness and critical thinking and provide streamlined support to maintain the day-to-day operations of the organization.Job DescriptionWhat you’ll be doing:

  • Support the AGD senior management team with key activities and requests;
  • Handle reception desk and phone duties as necessary;
  • Book appointments and organize meeting rooms including catering and logistics;
  • Plan and coordinate special events, lunch & learns, workshops, seminars and other special meetings (venues, catering, invitations, meeting materials, audio visual, etc.);
  • Arrange travel including flights, hotel accommodations and car rentals;
  • Help prepare presentations (PowerPoint);
  • Help prepare and format reports and communications (Word);
  • Create graphs, charts and spreadsheets (Excel);
  • Gather data and input for bi-weekly meetings and assemble into standardized formats;
  • Help maintain filing system;
  • Manage General and Administrative budgets for areas of responsibility;
  • Assist with workforce planning and tracking (updating of organizational charts, vacation tracking, etc.);
  • Assist with general administrative duties as required (data entry, time entry, Visa statements, promotional items, photocopying, etc.);
  • Perform other duties as requested/required.
QualificationsWhat we are looking for:
  • Progressive office management experience (minimum 5 years) in a client focused environment, supplemented by a diploma in Office Administration from a recognized educational institution; or an equivalent combination of experience and training;
  • The ability to take ownership of the portfolio, while sharing knowledge and drawing on the expertise of other team members, is critical;
  • Must have a high degree of accuracy, attention to detail and proven administrative skills;
  • Demonstrated business professionalism, respect for confidentiality and appropriate handling of sensitive information
  • Excellent organizational, planning and interpersonal skills
  • Superior communication skills (verbal and written)
  • Ability to work independently and balance multiple demands, including prioritizing and meeting deadlines;
  • Must be a flexible and enthusiastic self-starter with a positive attitude and a willingness to work on a variety of projects, big or small;
  • Experience working with a diverse, multi-location company would be considered an asset;
  • Superior communication skills (written and verbal);
  • Proficient in Microsoft Office programs such as Outlook, PowerPoint, Excel and Word
