Salary range is $48,279.29 to $56,083.06 annuallyThe Facilities and Operations Coordinator will jointly support CMHA Peel Dufferin (CMHA) and tenants of Community Door 7700 Hurontario Street location by carrying out responsibilities related to operations & facilities management, purchasing & procurement, and vehicle fleet management. Through this work, the Facilities and Operations Coordinator will help ensure that CMHA Peel Dufferin services across all office locations are delivered with high quality and availability.This is a full-time (37.5 hours a week) permanent position based at 314-7700 Hurontario street, Brampton, ON.What Youll Do
  • Track facilities issues and manage through to resolution including, but not limited to, janitorial services, washrooms, plumbing leaks, electrical outages, heating ventilation and air conditioning (HVAC) systems, interior & exterior doors, windows and lights, by contacting site specific vendors and contractors
  • Prepare and configure security access cards and photo ID cards for offices and IT server room based on organizational needs within security systems or in coordination with site-specific building security
  • Administer and monitor security cameras for any security issues; complete reporting requirements to CMHA and Community Door agencies as required
  • Prepare and distribute communications for regularly scheduled maintenance, as well as emergent work repairs to staff who may be impacted by vendors completing onsite work, outages etc.
  • Maintain a calendar of regular inspections of emergency systems, fire plans, safety plans in coordination with Joint Health and Safety Committee
  • Conduct regular inspections of accessibility doors, hand sanitizer dispensers, and other equipment in line with CMHA and Community Door policies and practices
  • Track and analyze costs associated with operations & facilities management, purchasing & procurement, as well as vehicle fleet management; work with the Director to prepare and review annual budgets, monthly actuals, and forecasts
  • Conduct analysis and prepare presentations with recommendations for improving operational practices, solutions, and vendor management
  • Liaise with agencies within Community Door on security and operational issues
  • When scheduled, perform on-call duties after-hours and on Saturdays to resolve on-site operational issues
Purchasing & Procurement
  • Work with management and staff to identify operational, facilities, technology, and fleet management needs to prepare plans and schedules for the purchasing & procurement of goods and services
  • Prepare and send documentation to purchase/procure IT equipment, Infection Prevention and Control (IPAC) supplies, staff safety kits, facilities equipment, trades vendors, and other goods and services in line with purchasing and procurement policies
  • Maintain, prepare, and track paperwork for goods and services requisitions, purchase orders, and processing invoice payments through CMHA’s systems
Vehicle Fleet Management
  • Work with Director to establish CMHA’s fleet management capabilities and track the use of CMHA Peel Dufferin’s vehicles; collect safety checks, track mileage, arrange regular service appointments and urgent repairs
  • Ensure smooth operation of vehicles and maintain relationships with CMHA staff and vendors, ensuring insurance policy coverage, license plate renewals, and maintaining vehicle records in line with CMHA policies and procedures
What You Will Need:
  • Post-secondary school degree or diploma in a relevant field or the equivalent in experience
  • Minimum 2-3 years experience with operations & facilities management, purchasing, and vendor management
  • Excellent interpersonal, problem-solving, organizational, presentation, written and verbal communication skills
  • Strong skills using Microsoft Office 365 applications and tools
  • High degree of accuracy and attention to detail
  • Demonstrated organizational, and analytical skills
  • An ability to exercise good judgement, tact and maintain confidentiality
  • Demonstrated ability to prioritize and complete many competing demands
  • Initiative and has a personal commitment to organizational values
  • Ability to work well in a fast paced; constantly shifting and changing healthcare landscape
  • Proof of administered full-series Health Canada approved COVID-19 vaccination prior to start date. If unable to be vaccinated for reasons relating to protected grounds under the Code, completed medical or religious exemption must be provided
  • Valid Canadian driver’s license and access to an insured automobile in good repair
  • A satisfactory Vulnerable Sector Screening (Police Check) report
