Job Description

Payroll AdministratorThe Canadian Mental Health Association Peel Dufferin is pleased to announce that we are currently recruiting for the position of Payroll Administrator.Reporting to the Manager, Finance, the Payroll Administrator will perform all tasks related to payroll administration, assigned small volume of AP work, Capital assets management in WASP, and support Manager of Finance and the Senior Director of Corporate Services.This is a full-time (37.5 hours a week) permanent position based at the Hurontario street, Brampton location of CMHA Peel Dufferin. Due to the current pandemic, the incumbent will work both from home and the office, as required.Current Salary band is $51,106 - $58,681 per year.CMHA Peel Dufferin offers a competitive overall compensation package which includes:Four weeks paid vacation (accrued), Eighteen Paid personal days per year (accrued), Two Flexible Days annually, HOOPP pension plan, Professional development opportunities within the agency, Excellent benefits including Heath and Dental coverage, Employee Family Assistance Program and access to a wellness fund benefit.Key Responsibilities:Payroll Responsibilities

  • Prepare and process bi-weekly salaried and hourly payrolls using Quadrant software
  • Review timesheets and follow up to resolve issues upstream
  • Maintain and update scheduling units for all programs and provide support/training to program administrators with their scheduling inquires
  • Ensure payroll is submitted correctly and compliant with relevant legislation.
  • Perform biweekly, monthly and year-end reporting; CRA deductions at source, benefits, EHT, WSIB, ROE, T4 preparation and distribution.
  • Run payroll reports, publish pay statements to QHRnet, prepare and distribute ROEs
  • Accountable for the availability of timely and accurate payroll related data and information for financial analysis and audit purposes
  • Reconcile and keep up to date employee benefit deductions pension plans and investigate variances.
  • Provide timely responses to staff for any inquires related to payroll and benefit banks
  • Maintain and manage employee setup in Quadrant system in close collaboration with HR.
  • Keep track of all positions funded and created by CMHA Peel and its corresponding cost center mapping.
  • Observes and respects the confidentiality of payroll information
  • Other payroll related tasks as required
Accounting Responsibilities
  • Assist with accounting duties to help ensure month end closes are completed in a timely manner
  • Enter and process assigned accounting work to Great Plains , ensuring deadlines are met
  • Provide support in the training of Concur expense and invoice management solution
  • Identify opportunities to educate program managers and administrators across the organization to improve the efficiency of the AP function and perform the training.
Capital Assets Management Responsibility
  • Track and enter the information for capital assets on a monthly basis into WASP capital asset system, reconcile and prepare year end schedules for capitalization and depreciation
  • Verify and ensure the existence of the assets by location and program, tag the new capital assets, update and maintain the assets list by location and program
  • Maintain the documented purchase of Capital Assets for audit purposes.
Others
  • Bank Deposit for cheques and cash and processing Credit card payments
  • Other duties as required
Performance Management and Professional Development
  • Stay current on relevant legislation and best practices, current research, policies and procedures
  • Participate in ongoing professional development and mandatory training
Other Activities
  • Serve as a role model to others by demonstrating a respectful and positive attitude towards individuals receiving support from CMHA Peel Dufferin representing the organization professionally
  • Promote and demonstrate the Vision, Mission and Values of the organization within the workplace and the broader community
  • Demonstrate a respectful and professional attitude and ensure the development and/or maintenance of a positive and supportive working relationship between departments/teams within CMHA Peel Dufferin and with external organizations, business and the broader community
  • Work within the health and safety guidelines provided by the agency, which includes annual mandatory training requirements.
Other Duties as Assigned
  • Coordinate, attend, participate in team/staff meetings, and all-staff meetings as required
  • Participate in agency quality improvement activities, e.g. accreditation projects, Information Systems Support and Privacy and Security committees, special events, etc.
  • Participate in quality improvement activities at the team/program level
  • Participate in external committees as required
  • Undertake other duties as assigned from time to time
Qualifications:Education and Experience
  • Post-Secondary Education in Payroll, Accounting, or Finance
  • Certified as Payroll Compliance Practitioner (PCP)
  • Minimum 3-5 years’ experience in a Payroll position is essential
  • Minimum 3-5 years’ experience in Accounting is essential
Knowledge and Skills
  • Demonstrated experience and knowledge of Canada-wide Payroll legislation and regulations
  • Knowledge of payroll related Employment standards.
  • Exceptionally strong communication and interpersonal skills.
  • Ability to meet deadlines a must.
  • Strong computer skills – MS Word, Internet, Outlook and especially Excell
  • Proven working experience with payroll systems essential
  • Working knowledge of HRIS and Great Plains an asset
  • Keen attention to detail, professionalism and confidentiality in Finance and Payroll matters at all times.
  • Ability to prioritize
  • Strong planning and organizational skills and the ability to multi-task with confidence in a busy office environment
  • Experience in a non-profit organization is an asset.
Requirements of the Position:
  • Valid driver’s license
  • Automobile in good repair and insurance coverage as required by agency policy
  • Satisfactory police records search and vulnerable sector screening
  • Satisfactory references

Working Conditions:
  • Work in contact with individuals living with serious mental illness, issues of poverty and substance use
  • Lifting, carrying, handling of small objects and packages not normally exceeding 1-10 lbs., e.g., files, information brochures, small office equipment/tools.
  • Sitting for long durations, e.g., long hours on computer and keyboard, meeting with people, driving, working at desk.
  • Walking and standing for short durations.
