We are proud to be recognized, year after year, as one of Greater Toronto’s Top Employers and Canada’s Best Diversity Employers.Here you will work alongside a highly-committed and respected team that understands what it means to go beyond to meet the health care needs of our communities.POSITION: Non-UnionResearch & Academics Services Coordinator – One (1) Full TimeDEPARTMENT/CAMPUS:Research and Academics - Multiple SitesHOURS: Currently Days, including weekends and holidays (Subject to change in accordance with operational requirements)JOB SUMMARY:Reporting to the VP of Medical Affairs, Research & Academics, and the Director of Clinical Research, the successful candidate will coordinate, liaise with various stakeholders and provide support to the initiatives and day to day operations of the research and academics programs to contribute to the broader team’s objectives.RESPONSIBILITIES:ContractsManages physician leadership contracts (Medical Affairs)Manages Research Contracts – liaising with contracts lawyers and sponsors, maintaining versions and escalating issues (Research)Summer Student Research Program (SSRP)Coordinates SSRP including call for abstracts, posting for and hiring students, implementing learning curriculum for students, support REB submissions, coordinating student poster sessionNewsletters : Funding Newsletter (research); Research Newsletter; Academic NewsletterSupports the annual content planning cycle, solicit materials, set and enforce deadlines, coordinate frequency of the newsletterLeads the preparation, editing and formatting of newslettersPerformance Management SupportHelps organize and maintain direct reports goals and directives. (Medical Affairs)TimekeepingProcesses timekeeping records for payroll purposesMeeting Coordination, Recording and Follow-upPrepares meeting agendas and provide any required background materials, transcribes and distributes minutes and follows up on action items for Research and Academic Strategy MeetingsDevelops presentations, briefing notes and memos for various internal and external audiencesAnalyze and interpret information from a range of internal and external sourcesProvides brief summaries of major committees, distills to key action items and distribute to Medical Directors/direct reports. (Medical Affairs)QUALIFICATIONS:Bachelor’s degree required2-3 years’ recent administrative experience, preferably in a research or academic environmentFully proficient in the use of MS Office Suite (Word, Excel, PowerPoint and Outlook (expert level)), with superior calendar management and scheduling skillsStrong attention to detail, time management and organizational skillsAbility to manage competing priorities from multiple stakeholders in a fast-paced, deadline-oriented environmentExcellent written and oral communication skills with the ability to exercise discretion, tact and good judgmentProficient with videoconferencing platforms such as MS Teams, Zoom, WEBEXAbility to maintain strict confidence as required when interacting with stakeholdersAbility to multi-task and work accurately and effectively under pressure, meets deadlines, and remains composed in high-pressure situations.Osler values inclusivity and diversity in the workplace.
