Admin Assistant/Clerk (Regional Office) PermanentSouth Shore Regional Centre for EducationThe South Shore Regional Centre for Education (SSRCE) practices the culturally responsive pedagogy approach in providing an inclusive, diverse, equitable, safe and healthy education that supports learning and success both personally and academically to the 59,000 residents of Lunenburg and Queens Counties, an area of 5,250 square kilometres and a total of 23 schools.Regional Centres for Education have Employment Equity Policies and/or processes and we actively encourage applications from under-represented groups, particularly people of African Nova Scotian, African Canadian and African ancestry and Mi’kmaw/Indigenous ancestry. Please ensure that you complete the self-identification portion on the position application.Competition#: 74215Position: Administrative Assistant/Clerk - RCH (50%) and Operations (50%) - Designated Position*Reports to: Coordinator of African Nova Scotian Education Services, Coordinator of Mi’kmaw Education and Director of OperationsEmployee Group: NSGEUSchedule: 7 hrs/day, 10.5 months (late August to June annually)Status & Wage: Permanent position, effective immediately - $19.23/hr

Qualifications:
  • Completion of business diploma from an accredited college.
  • Training in Microsoft Word and Excel
  • Related experience in a public office (preferably in education).
  • Experience interpreting collective agreements and processing pay and support.
  • Pays attention to detail.
  • Ability to work under pressure with deadlines.
  • Strong interpersonal, organization, and communication skills.
  • Ability to communicate courteously and effectively with the public.

Task Dimensions:RCH:Provides administrative support to the Coordinators in RCH, for example:o Establishing, maintaining and securing a filing system for administrative records.o Maintaining the electronic RCH folder with expense claim forms, contact lists and tutor forms.o Composing routine correspondence.o Assisting with budget tracking and accounts.o Setting up tutors and maintaining time cards.o Creating disbursement vouchers for school activities.o Ordering supplies for RCH staff.o Coordinating meeting particulars (location, refreshments, quorum issues, etc.).o Maintaining professional library for RCH.o Creating purchase orders/receiving for supplies and materials.o Preparing and distributing agenda packages SSW team meetings.o Attending all regular and special meetings and drafting minutes.o Providing support for PD events and meetings (e.g. maintaining sign-in sheets, ordering catering, photocopying, etc.).o Maintaining SSW permission slips and entering into power school, along with self-identification information.o Compiling other data as required using Excel spreadsheets.o Assisting with other general office duties ie: typing correspondence, faxing and distributing of information/materials, telephone answering, taking meeting notes and other duties as assigned.Assisting with annual and semi-annual activities for other Regional Coordinators as needed.Performs other duties as required.Operations:Assists the Operations Department in managing office routines, for example:
  • Assisting in supplying and allocating spare custodial staff and entering time daily in AESOP
  • Requesting vacation schedules from custodial and maintenance staff, and creating schedules and reports as required.
  • Entering all payroll associated with custodial and maintenance staff absences, including payroll for spares and overtime.
  • Responding to calls and inquiries from custodial staff about pay and policy procedures related to time.
Provides administrative support, for example:
  • Serving as back up receptionist on a daily basis and breaks and lunch.
  • Attending staff meetings for Operations Department.
  • Providing administrative support for Supervisory staff, including Excel reports, account analysis and costing support
  • Assisting with preparation of memos, in-services, training, minutes, and other meeting preparations as required.
  • Supporting other staff as needed.
Complies with the Occupational Health and Safety Act and Regulations.Performs other duties as required.First consideration will be given to NSGEU Local 70 Members.TO APPLY:
