Job Description

SUMMARY: The Camrose County Public Works and Protective Services Department has an opening for a part-time Administrative Assistant, with the possibility of becoming a full-time position. The successful candidate will be responsible to provide clerical and secretarial support to the Departments, as well as provide information, assistance, and service to ratepayers, and perform related duties as required.QUALIFICATIONS & ATTRIBUTES:

  • At minimum, completion of Grade 12, with preference to those who have completed an accredited program related to Administrative Assistance;
  • Provide a clean background security check;
  • Knowledge of municipal operations, including but not limited to: construction works, bylaw enforcement, policy compliance, and contract administration;
  • Excellent communication, conflict resolution, and interpersonal skills;
  • Personable, positive, self-starting, and motivated attitude;
  • Ability to organize, multi-task, prioritize, and perform work accurately;
  • Ability to complete tasks with minimal supervision;
  • Knowledge of, or familiarity with Camrose County;
  • Competent knowledge of computers and ability to effectively use applications and software including proven experience and proficiency with Microsoft Office Products (Word, Excel, Outlook)
GENERAL DUTIES
  • Answer phone calls, greet and assist visitors, and take messages for staff and record all incoming complaints, information, and/or requests.
  • Ensure that all public inquiries/requests are forward to the appropriate personnel for handling.
  • Answer questions and assist ratepayers on any County related issues, including County policy or permit applications.
  • Provide clerical and secretarial support for Public Works employees.
  • Maintain and update a daily diary of contacts made and received and discussions.
  • Maintain and update a calendar which includes appointments, operationally significant dates, and all Public Works employee vacations.
  • Update records and organize filing on an on-going basis. Remove old information as able and improve upon systems as opportunity presents itself.
  • Requisition and return files.
  • Operate County cellphone to maintain communication with field staff. Record location information on daily basis in accordance with safety policies.
  • Drafting general correspondence and other documents not limited to, but including notifications, reports, tenders, and applications.
  • Create Invoice Requests for different Public Works County services.
  • Track and maintain information on the sale of screenings at County gravel pits.
  • Complete orders of equipment and supplies and provide purchase orders to field staff and external suppliers.
  • Update and maintain equipment information on Citywide.
  • Have a good understanding of all Camrose County Policies and Bylaws.
  • Complete One-calls for field personnel and County staff as required. Organize clearance tickets and notify staff as one-calls are completed for excavation.
  • Maintain list of equipment and update Key Cabinet as required.
  • File all paperwork as required, including safety, vehicle maintenance, reports, and other.
  • Maintain information on equipment or supplies borrowed from Public Works.
  • Input Gravel Haul Card Data.
  • Input Citywide Work Orders; attaching assets as necessary.
  • Complete Work Orders in Citywide; attaching completed notes and removing inventory as necessary.
  • Monitor Citywide WO system to ensure that no work orders are left outstanding for excessive period of time.
  • Maintain supply of grader operator maps.
  • Proofread documentation as requested by Public Works employees.
  • Provide information on new sign installations to Jordan for updating in GIS system.
  • Assume position of Fire Safety Warden for PW Department.
  • Provide any Public Works advertisements to Teresa so they can be forward to the local papers and posted online.
  • Complete Special Haul Permits and Road Use Agreements as necessary. Coordinate with external parties on requirements. Record permit information on map and information board. Notify Protective Services and other PW employees regarding new permits and expiry of permits.
  • Create and print off sheets or lists as required for field staff.
  • Update phone lists on an on-going basis.
  • Coordinate works associated with implementing fire and road bans. Online information and inform field personnel to change ban signs.
  • Order time books, equipment inspection books, ticket books, haul cards, and all other media as required.
  • Arrange lodging and registration for personnel to attend conferences and seminars.
  • Arrange for fuel shipments to different grader sheds, at request of grader operators.
  • Other duties as required.
