Job Description

Our company is currently seeking for Administrative Assistant.More about My Baskets www.mybaskets.caMy Baskets is a gift basket company based in Toronto.We are in need of an immediate opening , full time position. We are looking for:Highly motivated with a desire to succeed and progress.Energetic, creative, eager to grow, technology enabled, work well under pressure. Able to do multiple tasks related to the job. The administrative Assistant is responsible for the daily administration and processing of E Commerce orders, in accordance with My Baskets established standards, policies and procedures. Ideal candidate will be expected to help facilitate & coordinate internal/external inquiries for corporate & large group orders, while providing a consistent level of superior customer service.Responsibilities

  • Impeccable customer service by providing assistance to all corporate and individual orders and emails.Responsible for managing large orders and inquiries.
  • Manage daily e-commerce store operations by fulfilling orders on Shopify
  • Work alongside with the Shipping Manager and Warehouse to schedule deliveries accordingly and meeting tight deadlines
  • Accurately executes order fulfillment using Shopify platform, within set timelines and parameters.
  • Ensures that set standards for processing, documentation, client services, payment processing, and execution of routine transactions are met at all times.
  • Maintains client files, ensures efficiency in retrieving documents, and archives closed files for easy accessibility.
  • Negotiate and coordinates corporate mass order within set customizations requests, parameters, and timelines.
  • Verifies own work (and work of fellow team members) for accuracy, clarity and completeness, and ensures requests are documented accurately as per order.
  • Accurately entering documents to Quick Books Online.
  • Completes daily workload within strict timeframes to sustain and meet market and cyclical seasonal demands and addresses any issues promptly.
  • Escalates and provides recommendations to the appropriate authority about any inquiries or issues that are beyond their scope.
  • Maintains excellent working relationships with internal and external partners.
  • Coordinates with all internal departments to ensure gifts are delivered as requested with all appropriate information or items enclosed.
  • Bilingual (French/English) verbal and written communications skills are assets.
Qualifications
  • Post-secondary degree or diploma in Business Administration or in a related field.
  • 2 or more years of work experience within an assembly and logistics industry in an administration or processing role.
  • 3-4 years of customer service experience
  • Basic knowledge of Quick Book online
  • Knowledge of products, customization processing, order fulfillment.
  • Excellent attention to detail and accuracy.
  • Must possess intermediate to advanced skills in MS Excel, Word, Google Office.
  • Familiarity with using large and complex customer information database systems; ability to learn inquiry and maintenance functions in office processing systems.
  • Excellent interpersonal and communications skills, both verbal and written.
  • Excellent customer service skills with an exceptional ability to communicate information effectively.
  • Ability to work in a high volume, multitasking environment with demanding timeframes.
  • Strong organizational, time-management, and prioritizing skillsets.
  • Highly motivated with a desire to succeed and progress.
  • Ability to work effectively with others as part of a team within a diverse environment.
