Branch:Financial ServicesPosition Type:CUPE Local 556Number of Positions:1Salary:$32.12 (interim rating)Hours Per Week:35 hours per weekEmployment Type:Regular Full-TimeCompetition Type:Internal Posting – Current CVRD CUPE 556 Employees onlyDate posted:September 28, 2022Closing date:October 17, 2022 - 3:00pmWe are accepting applications from existing Comox Valley Regional District CUPE Local 556 members only for a full-time Financial Services Clerk to join our Financial Services team. The Financial Services Clerk provides general and administrative assistance for the financial services branch, including workflow support for the branch’s accounting technicians, accounts payable email administration, distribution of invoices, entering accounts payable batches, and preparation of the daily bank deposit for the Comox Valley Regional District (CVRD).Reporting to the Manager of Financial Operations, the primary responsibilities of this role include:

  • Providing email administration support for the centralized accounts payable email inbox including processing invoices, investigating payment status inquiries, and responding to suppliers in a respectful, knowledgeable and timely manner;
  • Reviewing invoices and matching them to purchasing documents, including completing any required follow up with the procurement technician to ensure adherence to the CVRD procurement policy;
  • Distributing invoices to CVRD staff for review and payment approval;
  • Reviewing monthly purchasing card reconciliations submitted by staff and completing any necessary follow up;
  • Preparing daily bank deposits, reviewing and posting receipts processed to the systems and general ledger; posting bank debit and credit vouchers; providing direct support, backup and training to the Information Centre Assistants, and other users of the CVRD’s financial software applications;
  • Reviewing and reconciling statements received from suppliers;
  • Reviewing approved invoices and entering accounts payable batches for review and payment;
  • Collecting fuel card receipts and reconciling the monthly fuel card statements for processing;
  • Assisting with annual insurance policy renewals; preparing related documentation and correspondence; and assisting with maintaining manual and electronic files and spreadsheets as needed;
  • Performing various administrative duties related to the processing and maintenance of asset transactions;
  • Performing various clerical support duties and providing occasional coverage for the Branch Assistant.
Our ideal candidate is:
  • Passionate about detail-oriented work with strong data entry and spreadsheet skills;
  • Knowledgeable in the practices and processes involved in local government office administration;
  • A strong communicator with a collaborative approach, including the ability to relate effectively with internal and external contacts;
  • Organized with the ability to effectively balance competing priorities and coordinate administrative details in support of departmental programs or processes;
  • Able to effectively research and prepare written reports and other correspondence;
  • Organized, analytical and creative when it comes to problem solving;
  • Experienced in a finance support role, preferably in a local government environment, with over two up to three years of directly related experience;
  • Educated in business administration, accounting or another relevant discipline including completion of a post-secondary education program of over six months up to one year following Grade 12 graduation (an equivalent combination of education and experience may be considered);
  • An advanced user of Microsoft Office, with emphasis on presentations, spreadsheets and word processing. Strong utilization skills with Adobe, Explorer and SharePoint applications for document retrieval and file sharing;
  • Comfortable retrieving information from financial software applications (ie. iCity, Questica).
