Job Description

Our growing Dartmouth firm combines old world artistry, common sense, and technology to create a noteworthy but responsible design for our clients, within budget.This 99% Revit Firm offers its clients services in the specific areas of design-build architectural consultation, standard design pre-design programming, master planning, space planning, concept design, development agreement, construction drawings, contract administration, BOMA measurements and interior architecture design. Utilizing a combination of cutting-edge technology, high ethical standards, inspired creativity, and expertise in construction, Scott A + D has quickly distinguished itself from other Halifax based firms.T. A. Scott Architecture + Design is seeking a Chief of Staff.The Chief of Staff maintains the overall day-to-day operations of the firm. They will work with the principal architect on performance tasks and ensures that the office runs smoothly. The chief of staff is an administrative buffer and project coordinator, working directly with principal architect and staff on a daily basis to review project progress.Duties

  • Coordinate office activities and operations
  • Manage agendas, travel arrangements and appointments for the principal architect. Keep the principal architect on schedule with verbal and written reminders
  • Plan all aspects of large meetings, work with junior staff to execute small details
  • Keep track of performance and keep teams on track towards goals
  • Manage phone calls and correspondence
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit reports and prepare presentations and proposals as assigned
  • Assist team whenever necessary; assist in preparation of proposal packages, or drawings, budgets and time tables for meetings
  • Return phone calls and emails on behalf of the principal architect
  • Arrange and attend meetings as required
  • Prepare and submit purchase orders and expense reports
  • Prioritize emails for the principal architect daily
  • File and maintain office libraries
Qualifications
  • Seeking a recent graduate with a Certificate or diploma in Office Administration, Business Administration or an equivalent for a role as Administrative Assistant.
  • Candidate must have general experience of technology including Microsoft Office 365, Excel & Word, Microsoft Teams
  • Candidate must have confident decision-making skills, writing and editing skills, and an ability to juggle several priorities and tasks in one day for a busy and growing office.
  • Candidate must have a valid nova scotia drivers license and be willing and able to drive. A vehicle will be provided.
