Job Description

META is seeking an Executive Assistant for our facility in Dartmouth, NS. You will play a key role in providing comprehensive administrative support to the CEO in support of the organization’s objectives, while acting as a “barometer” for the organization, having a sense of the issues taking place in the overall environment and keeping the CEO updated as to such.About Us:Meta Materials Inc. “META®” (NASDAQ: MMAT) is a developer of high-performance functional materials and nanocomposites. Learn more at www.metamaterial.comWhat You’ll Do:In this dynamic role, you will anticipate needs, think critically and offer solutions to problems. You will use your energetic, highly organized administrative skills, to take ownership of multiple tasks with multiple deadlines and while working in a dynamic team environment.Some of the typical responsibilities will include:

  • Complete a wide variety of administrative tasks that facilitate the CEOs ability to effectively lead the organization, including but not limited to; assisting with special projects; designing and producing complex and professional documents, reports, and presentations; composing and preparing correspondence; maintaining contact lists; making travel arrangements and completing expense and mileage reports.
  • Conserves CEO’s time by reading, researching and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications and anticipating issues and initiates appropriate action to ensure the most effective use of the CEO’s time.
  • With full access to CEO email, use high degree of judgement and can easily identify where actions are required and will follow up on basic tasks.
  • Provides sophisticated calendar management for CEO, prioritizing inquiries and requirements while trouble shooting conflicts; making judgements and recommendations to ensure smooth day to day engagements.
  • Serves as primary point of contact and liaison for internal and external stakeholders on all matters pertaining to the CEO, some being highly confidential and critical in nature.
  • Assume a gateway role between CEO and staff, providing a bridge for smooth, responsive and open internal communication between the CEO and staff, demonstrating leadership to maintain credibility, trust and support with staff of all levels within the organization.
  • Provide assistance on ad-hoc business requests as needed and outside of normal business hours
Minimum qualifications:
  • Completion of post secondary education in the areas of Business Administration, Public Relations, Administrative Management, or equivalent
  • 3 years experience supporting at an executive level
  • 10 years experience in a high level administrative roe
  • Excellent scheduling and time management skills;
  • Excellent organizational and interpersonal skills; nuanced relationship builder who has keen networking skills and abilities; strong customer service mindset; high emotional intelligence levels;
  • Exceptional communication and presentation skills both oral and written in multiple mediums;
Preferred qualifications:
  • experience supporting executives in a publicly traded company
