Job Description

The Resource Coordinator must be able to multitask in a very fast-paced environment with multiple requests and questions coming from sales associates and executives which require immediate attention while at the same time meeting service level agreements of sales orders. Responsible for assisting the Small Business Sales Team by entering, approving, and assigning orders to Implementation Specialists. Being well versed with audit processes, memorizing complex exceptions for different orders, and maintaining accuracy in data entering is required to ensure that all approved orders are complying and can be actioned by Implementation without any delays to the client. The Resource Coordinator must demonstrate thorough knowledge of applicable ADP products, services, and processes.KEY RESPONSIBILITIES:1. Ensure that all sales orders received via Salesforce.com (SFDC) are reviewed, validated, and entered accurately into e-Order within established service level agreements. Make certain that critical client documentation and information is complete and in compliance with policies and procedures before moving the order to the next stage.2. Work closely with the Credit Department to ensure documentation meets SOX compliances set up by ADP. Review the sales order to ensure pricing and data matches in the order system, and valid signatures are present on all required pages. If any discrepancies are witnessed, escalate to the appropriate department for review. Ensure roll call on orders meets the guidelines as stated in the Sales Policy. Also ensure that due diligence is made related to data which could otherwise result in replacement orders or system errors, and that correct processing regions and valid company codes are selected. Action back-end reporting requirements where applicable to the order process, such as Biz Tracker updates.3. Email prompt and concise instructions to the sales associate and their manager regarding any corrections required to process an order. Answer any questions sales associates may have regarding order types, required client information, or system challenges preventing them from submitting an order. Work closely with sales and implementation teams to ensure documentation and information requirements are understood. Add detailed notes to SFDC so any RC Team members can act as a back-up during absences to quickly action a resubmitted order.4. Assignment of orders to Implementation Specialists requires balancing workload evenly and taking into account all absences, offline tasks, and orders already assigned. Ensure overall adherence to updating Estart, resource planning tool, and SFDC with accurate start dates and backlog management.5. Contribute to improving internal processes/tools related to sales orders and their flow to implementation. Influence others through involvement in process and decision making. Build and sustain relationships of trust and respect with internal stakeholders.6. Schedule coaching sessions with sales teams to ensure they fully understand what documents and information is required from the. Identify and track patterns of deficiencies and work with managers to make improvements.7. Work under limited supervision, exercise independent judgment in setting priorities and workflow for self, to ensure high quality service levels. Must make quick decisions on resolving order issues. Optimize the use of own time, making certain that deadlines are met or exceeded.NON- ESSENTIAL RESPONSIBILITIES:Performs special projects as assigned.SKILL / COMPETENCY REQUIREMENTS:1. Must be able to work directly with various internal departments.5. Influence: Use appropriate interpersonal styles and common methods to gain acceptance of ideas, plans, products and services. Effectively explore alternatives to reach outcomes that gain the support and acceptance of all parties.6. Professional/Technical Knowledge: Having achieved a satisfactory level of professional/technical knowledge and/or skill in position-related areas; keeping up with current developments and trends in areas of expertise.7. Communication: Clearly conveying information and ideas through a variety of media to individuals or groups in a manner that engages the audience and helps them understand and retain the message.EDUCATION and/or EXPERIENCE:

  • 2 years post-secondary education or equivalent in experience.
  • Communication, organizational and general business training or equivalent preferred.
  • Technical training or equivalent in related technologies and/or systems implementations.
  • Strong working knowledge of ADP tools and systems (such as e-Order, e-Start, Biz Tracker, Salesforce.com, Mainframe, Siebel, SAP reporting, complexity matrix, etc.)
A history of successful performance in the following operational, implementation, or service positions is preferred:
  • Previous Order Entry, experience with audit policies and compliance, sales order approval processes, or implementation order assignment experience desired.
