The Administrative Assistant is a seasoned support staff member who provides advanced administrative support to the District Manager to ensure efficient operation of an experienced, professional team.What we offer:

Your roles and responsibilities:
  • Prioritize, file, sort, and highlight emails and manage District Managers calendar(s). Compose and track correspondence and prioritize phone calls.
  • Perform administrative duties such as filing, typing, copying, binding, scanning, set-up for new employees, project support. etc
  • Analyze data, prepare reports and presentations including weekly updates, scorecard objectives and tracking.
  • Set-up meetings, prepare and distribute agendas and action items; ensure all people and documentation required are available. Conduct inquiries on various projects / issues. Follow-up on requests for information and any actions required for outstanding items.
  • Maintain a good understanding of the relationships between various units and functions in the company, prepare reports, maintain informational documents and support/coordinate special projects, which may entail complete management of the project as well as supervision of a small group involved.
  • Support departmental functions by assuming responsibility for stand alone processes within the department’s control, such as departmental budgeting and various other programs/processes as assigned by their Manager. Provide recommendations to optimize processes performance and proactively resolve issues. Complete expense reports and track expenses to budget.
  • Coordinate travel arrangements for Director, team members, and external candidates.
  • Be sufficiently aware of company issues to provide information and answers for routine matters, particularly when their Manager is away from the office.
  • Provide information by answering questions and requests to support Director/Senior Manager in making knowledgeable decisions.
  • Provide support and training to more junior Administrative Assistants who may be on same, or closely related, teams. May provide direction of their work activities.
  • Work collaboratively with other senior Administrative Assistants and Executive Assistants to support broader business, determine priorities, cascade information, improve processes, etc.

Education and experience
