For us, success lies in delivering peace of mind to our customers, and we are passionate about ensuring their needs are met – on time, every time.Do you have an interest in the Aviation industry We are searching for individuals who are team players and eager!SummaryThe Administrative Assistant is the first point of contact of the Human Resources Department whose job is to help facilitate HR functions and manage daily operational administrative duties. This position will report directly to the VP Operations. The primary responsibility of this role is to work with both current employees and new hires within the company and our clients.Core Competencies

  • Ability to work independently while contributing towards a team environment
Key Responsibilities
  • Answer and direct phone calls
  • Manage staff appointments for RAIC applications and assist in filling out the application form as needed
  • Prepare all new hire paperwork and packages
  • Prepare documentation and packages for onboarding
  • Coordinate uniform assignment and ordering for all new employees
  • Organize and schedule meetings and appointments
  • Maintain contact lists
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Perform administrative duties such as filing, typing, copying, binding and scanning
  • Develop and maintain a filing system
  • Order office supplies
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Take meeting minutes
  • Handle multiple projects
  • Prepare and monitor invoices
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner
  • Reply to email, telephone or face to face enquiries
  • Develop and update administrative systems to make them more efficient
  • Receive, sort and distribute the mail
  • Greet and assist visitors to the office
  • RAIC and AVOP procedures
  • Other duties as assigned
Qualifications
  • High school diploma or equivalent; college degree preferred
  • Proven admin or assistant experience
  • Knowledge of office management systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
