Job Description

Hockey Eastern Ontario (HEO) JOB POSTING Position: Membership Support Services Coordinator Location: Ottawa, ONReports to: Executive Director Status: Full Time with variable shifts(three days 8-4, two days 12-8)Minimum Education: College Diploma or University DegreeMinimum Experience: 2-4 years in a relevant field (administration, business, sport) or relevant work experience e.Application Deadline: July 20, 2022Salary Range: $40,000-$50,000**Please note that the position falls within HEO’s Staff Performance Management System. Incumbents are eligible for annual increases as set out in HEO’s Personnel Manual and performance pay where performance meets established standards for such pay.THE ORGANIZATION: Hockey Eastern Ontario is one of thirteen members of Hockey Canada, governing amateur hockey over the portion of the Province of Ontario lying east of and including the Counties of Leeds, Lanark andRenfrew except the town of Gananoque and the portion west of Highway number 32 and south ofHighway number 15. HEO is a not-for-profit corporation with members in minor, junior, para, special and university hockey with over 30,000 plus annual registered participants. Hockey Eastern Ontario delivers development programming, policies, rules and regulations and support to our members. As a Member ofHockey Canada, we adhere to the Hockey Canada Mission Statement “Lead, Develop and PromotePositive Hockey Experiences”GENERAL RESPONSIBILITIES: Program Management

  • Coordinates the HEO minor hockey tournament program (reviewing and approving minor hockey tournament sanctions, and reviewing minor hockey tournament game reports for major infractions of interest to HEO or other Hockey Canada branches);
  • Coordinates the HEO minor hockey discipline and appeals program, attends all hearings organized by HEO’s Discipline and Appeals Committee, drafts pertinent documents, maintains relevant records, provides advice to the Chair of the Committee, and conducts trend analysis for
HEO staff and the Board;
  • Coordinates the Total Team Management System for minor hockey (monitoring Game Incident
Reports for major infractions requiring disciplinary hearings, conducting trend analysis and recommending program and policy improvements);
  • Coordinates HEO’s maltreatment data entry and record-keeping for minor hockey under Hockey
Canada’s Rule 11 and HEO’s Maltreatment, Bullying and Harassment Protection and PreventionPolicy 6.3, analyzes trends and provides reports and advice to HEO staff and Board
  • Supports the Chair of HEO’s Minor Council by scheduling Council meetings, writing minutes, and advising the Chair as appropriate
  • Supports HEO’s Membership Services Coordinator in developing and delivering HEO’s communications and social media engagement strategy
Administration Support
  • Handles all incoming inquiries regarding HEO’s minor hockey programs, including HEO’s Policy for Minor Hockey 6.49 and its related Code of Discipline 6.49.1 and Video Policy 6.49.2;
  • Supports the Executive Director and Treasurer by maintaining an inventory of all minor hockey financial audit records as required under HEO ByLaws;
  • Provides support services for the office (greets and directs visitors and the general public);
  • Provides administrative services for the office (supports and assists the Executive Director and other staff members as required);
  • Maintains and ensures that the office is clean and organized (reception, photocopy area, mailroom, meeting rooms and kitchen).
Other Related Duties
  • Assists with any other duties as required.
ESSENTIAL SKILLS:
  • Self-Starter with strong interpersonal, organizational and communication skills.
  • Proven ability to manage multiple tasks and projects with strict deadlines
  • Proficient in Microsoft Office programs (Word, Excel, Powerpoint) and SharePoint
  • Experience working with social media and websites
  • Proven ability to make value-based decisions
  • Strong hockey knowledge
  • Ability to work in a team environment
  • Required to work a minimum of two evenings weekly (a variable shift schedule (8-4 and
12-8) will be used to accommodate shifts requiring evening hours)
  • Ability to work weekends when needed
  • A valid background check with vulnerable sector screening will be a requirement of employment
