Job Description

We are looking for full-time, permanent Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks. As a Receptionist, you will be the first point of contact for our company. At least 50% of your time will be spent responding to client inquiries received by email. Our Receptionist’s duties include offering administrative support across the organization. You will welcome guests and greet people who visit the business. You will also coordinate front-desk activities, including distributing correspondence and redirecting phone calls. To be successful as a Receptionist, you should have a pleasant demeanor and be customer service oriented. Responsibilities

  • Completing Customer Service Tickets - minimum of four hours daily
  • Answering reception phone, dispatching calls, taking and forwarding messages for office staff
  • Opening and distributing mail
  • Scanning documents and saving them into Branch Access
  • Distribution of documents to mail folders at the copier machine room (8 AM to 8:30 AM after doors are closed).
  • Managing keys, fobs, cheques leaving and being returned to the office
  • Greeting guests and managing requests at reception regarding strata fees/amounts outstanding (C3 retrieval of account info)
  • Assisting Contractors and Vendors when they arrive for keys/access for buildings
  • Arranging courier drop off/pick up (Flash Courier and WCTS)
  • Placing Calls for WCTS Couriers (pick up/drop off Form I to/from LTO)
  • Attach notices at the door as needed (statutory holidays and office closures)
  • Assisting with preparation of meeting materials
  • Ensuring supplies are stocked and ordered as needed
  • Updating Bylaws which have registrations attached but not added to content- formatting the documents and saving in our systems.
  • Helping the Strata Management Assistants #39; team as needed
  • Set up the lunch room or board room every time a function meeting or seminar takes place and help cleaning up afterwards
  • Operating and emptying the dishwasher -weekly (or as needed)
  • Ensure to clean up the fridge once a month with proper notice
  • Ensure kitchen supplies are ordered regularly and kitchen is always well equipped
  • Keep the cabinet Keys organized and updated (Folder and labels)
Requirements
  • Proven work experience as a Receptionist, Front Office Representative or similar role
  • Proficiency in Microsoft Office Suite
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
