INTERLAKE RESERVES TRIBAL COUNCILJob OpportunityJOB TITLE: Executive Assistant (Term)LOCATION: IRTC Sub-Office, Headingley, MBTERM: ASAP – March 31, 2023 (with possibility of renewal)SALARY: Based on experienceJOB DESCRIPTION: Reporting to the Chief Executive Officer (CEO), the Executive Assistant’smain focus is to provide administrative support to the CEO and other senior management as required. Duties include, but not limited to:· Schedule, update and communicate reminders of scheduled meetings, speaking engagements and appointments for the CEO.· Review and prioritize incoming correspondence directed to the CEO, reroute or photocopy as appropriate and/or attach pertinent files or related correspondence.· Maintain an office calendar and booking schedule for the CEO’s desk.· Coordinate and schedule IRTC’s monthly Board of Directors meetings.· Draft, prepare, format, collects and distributesa variety of word documents, correspondences, memos, and reports, narrative report packages, etc.· Coordinate the logistics for meetings, events, and conference calls for the CEO and Board of Directors.· Ensures appropriate follow up on tasks and assignments delegated by the CEO.· Arrange travel plans for all IRTC’s staff, Board of Directors, First Nation leadership, and external clientele as instructed.· Receive, distribute, and file incoming letters, documents, personnel records, communications, and reports using an efficient secured filing system.· Answer basic telephone and emails and redirecting telephone calls and messages to appropriate staff.· Perform other duties as assigned by the CEO.QUALIFICATION: · Three (3) years administrative assistant experience· Three (3) years experience in providing direct executive support to senior level staff a definite asset.· Proven ability to maintain a high level of confidentiality.
