  • Provides the OR booking services, including but not limited to the following:
  • books O.R. procedures;
  • arranges for Pre-assessments appointments;
  • arranges for diagnostic procedures to be done within the Health Authorities within Nova Scotia;
  • develops, compiles, prints and distributes a daily Operating Room schedule;
  • notifies the Operating Room, Surgeon, Anesthetist, Utilization Coordinator, SPD, Admitting Department and Nursing Units of changes in the O.R. schedule;
  • notifies patients of O.R. schedule times and providing limited pre-Op instructions (i.e. NPO);
  • responds to patient inquiries regarding O.R. bookings.
  • Provides clerical services, including but not limited to the following:
  • answers the telephone, relays messages and answers questions as appropriate;
  • uses hospital paging system as required;
  • transcribes physicians’ orders when necessary;
  • assembles patient charts according to the Medical Record Guidelines for Daycare Surgery;
  • maintains statistical data collection for the Unit as applicable, i.e., monthly reports, patient registration, work-load measurement data;
  • schedules and arranges patients’ appointments when necessary;
  • distributes intra-departmental mail;
  • maintains adequate supplies;
  • maintains current knowledge of changes and developments related to the Service;
  • types minutes, reports or other items required by Service;
  • codes SAP time entry for staff and performs related payroll duties.
  • Participates in a team approach to health care by supporting the Service and by attending meetings, in-services and other training programs related to the Service and the hospital.
  • Promotes and maintains positive working relationships and communications within the facilities, with other healthcare personnel and with patients.
  • Maintains and promotes health and safety standards and procedures according to the organization’s guidelines and patient care standards to a level consistent with recognized national and provincial standards, including ethical guidelines.
  • Complies with the Continuous Quality Improvement Program as required.
  • Promotes the mission of quality health care by performing any other related tasks and duties that may be assigned or required in order to maintain proficient workflows.
  • Holds in confidence all matters pertaining to staff, residents, patients, clients and their families and information relating to the business of the Nova Scotia Health Authority.
About YouWe would love to hear from you if you have the following:
  • Successful completion of an approved Office Administration program and an approved Medical Terminology, course, required.
  • Minimum of three (3) years’ experience in a secretarial/general clerical position.
  • Experience in OR Booking procedures and use of Operating Room Management System.
  • Excellent organizational, interpersonal and communication skills (listening, verbal and written), demonstrating a high degree of tact, sensitivity, judgment, courtesy and confidentiality when dealing with physicians, all levels of staff and the public.
  • Ability to demonstrate initiative, sound judgement and remain calm in stressful situations.
  • Ability to efficiently prioritize job requirements and work independently as well as part of a multi-disciplinary team.
  • Proficient in the effective use of computers (Microsoft Suite - Word, Excel, Power Point, E-mail) Meditech and the ability to acquire additional skills as necessary.
  • Minimum keyboarding skills of 25 wpm, with a maximum 5% error rate, and data entry experience.
  • Commitment to promoting a culture of respect that supports safety, ethical practices, cultural awareness and organizational health.
  • Physical and mental capabilities to perform the duties of the position such as working flexible hours, multitasking, keyboarding, working in a fast-paced, stressful environment with varying workloads and strict timeframes.
