Job Description

Provide the VP with confidential administrative support including coordination of administrative procedures, public relations activities and organization of events, and act as liaison with department heads and company executives and with other businesses and associations on behalf of the SVP and VP while exercising good judgement in a fast-paced and rapidly changing environment.Responsibilities:Manage and follow up diligently on emailsManage and coordinate schedules in MS OutlookPlan and book business travel or corporate eventsPreparation and logistics for internal or external meetings, e.g. reserving conference rooms, ordering meals, printing documents, preparing participant lists, obtaining biographies, preparing the room, etc.Prepare documents and presentationsComplete specific projects and independently take care of any necessary research, prioritization and follow-upPrepare budget reports and follow up on them every monthAct as a delegate for e.hire, SAP, Bravo and expense authorizationsPrepare and manage all aspects of expense reportsPrepare purchase orders and track payment of invoices for materials and/or servicesInitiative, autonomy and ability to quickly adapt to a constantly changing environmentQualificationsRequirements:Excellent organizational skills, particularly the ability to juggle different tasks and responsibilities at the same timeOutstanding verbal and written skills in both French and EnglishInterpersonal effectivenessPerfectly bilingual in French and EnglishKnowledge of SAP an assetAbout usConnecting Canadians is our mission.
