Job Description

LANGUAGE REQUIREMENTWritten and spoken competence in French and spoken competence in English is required.CLOSING DATEJuly 28, 2022JOB SUMMARYThe EMP Special Care Home Program is a new department that is being created to oversee the implementation and operationalization of the enhanced clinical services model in Special Care Homes across New Brunswick.The administrative support duties and responsibilities include providing administrative support to ensure the efficient operation of the organization. The role supports directors, managers, and staff through a variety of tasks related to organization and communication and is responsible for confidential and time sensitive tasks.ROLES AND RESPONSIBILITIESMain Duties and Responsibilities

  • Answer telephone calls, screen callers, make appropriate decision such as redirecting calls, identifying problems and forwarding to appropriate staff, providing necessary follow-up and/or information as required, taking and relaying messages
  • Greet visitors, and vendors and provide them with the appropriate assistance and support
  • Enters data and maintains any required information using appropriate technology operating systems such as electronic health record and payroll systems
  • Enters or edits patient referral requests, medical diagnostics, and lab tests in the appropriate technology operating systems.
  • Creates, edits, and formats documents such as reports, spreadsheets, memos, agendas, letters, forms, and other outgoing documentation and correspondence
  • Schedules meetings and/or events and ensures necessary follow-ups, provides administrative support for various committees, organizes catering and equipment when needed; prepares agendas, records and distributes meeting minutes
  • Checks and maintains office equipment, submits orders through the appropriate technology system, receives deliveries and performs required follow-ups
Vaccination of ARF and home bound clients
  • Support EMP Resources in ensuring vaccination records are entered in PHIS during vaccination campaign;
  • Act as PHIS Subject Matter experts;
  • Coordinate vaccine ordering and distribution;
  • Record and report vaccination rates for ARFs;
  • Assist the Community Liaisons;
  • Assist manager with correspondence to SCHs, and
  • Support outbreak management, as required
Medical patient chart duties
  • Ensures the maintenance of patient clinical records, files reports, assembles and disassembles documentation
  • Follows standard operating procedures for the retention and destruction of clinical electronic and/or paper records
  • Performs other requirements related to electronic health record such as scanning, microfilming and archiving files
Other administrative duties
  • Performs financial duties such as accounts receivable/payable including invoice processing
  • Performs general office duties such as photocopying, faxing, filing, and distribute incoming mail
  • Coordinates travel arrangements and accommodation reservations
  • Maintains unit filing systems
  • Performs any delegated tasks related to administrative needs
REQUIRED QUALIFICATIONS AND OTHER JOB REQUIREMENTS:
  • High school diploma or equivalent plus administrative support program(1-2 years) which includes medical terminology/transcription courses
  • One year of previous experience
  • Proficient in MS Office
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Excellent time management skills and ability to multi-task and prioritize work
