The complexity of an integrated health region requires extensive consultation and collaboration with all levels of management and staff on policy development. The Policy Coordinator provides consultation on the policy stakeholder review and approval process, troubleshooting support for policy authors, stakeholders and approvers, and liaising with external vendors on policy information system functionality.QUALIFICATIONS:Associate Degree or Post-Secondary Education or equivalent related combination of education and experience in a related field.Must have five years of related experience or equivalent.Demonstrated proficiency, verified by testing, in the following areas: data entry, Microsoft Office applications, Excel, Word and Outlook at an advanced level.Strong organizational skills and attention to details.Highly developed interpersonal skills with ability to interact effectively as a team player.Ability and confidence to address/manage inquiries, multiple priorities in a timely manner.Demonstrated ability to identify inefficiencies, provide and implement solutions.Knowledge and application of project management process an asset.OTHER ESSENTIAL REQUIREMENTS/QUALIFICATIONS:Good prior work record and demonstrated ability to attend work on a regular basis.Ability to perform duties of the position.Written and spoken competence in English required.Demonstrated adherence to all privacy legislation and Horizon policies to ensure all confidential patient, business, financial and employee information is accessed on a need to know basis only (for required job duties) and is disclosed only to those authorized to receive it.Must be able to travel throughout Horizon as required to carry out the responsibilities of the position.**A Resume (C.V.) is required as part of the application**KEY RESPONSIBILITIES:Management of PoliciesProvide direction and support to policy owners for implementing, monitoring and archiving of policies.Assists with the identification of stakeholders for review.Ensure authors, stakeholders and approvers understand their required actions to complete their role in policy development.Input stakeholder approval names into the policy information system.Follow up with author to address stakeholder feedback.Assist individuals with the approval processes of other departments such as Forms, Clinical Order Sets or Standards.Provide review of final draft documents to ensure compliance with established format.Maintain archived and current policies.Maintain contact information of policy owners, stakeholders and approvers.Obtain and verify that proper documentation of meeting minutes for approvals and endorsements are securely filed.Identify expired policies that require review.Identify and remove redundant policies.Assist Policy Analyst with short-term priorities and long-term strategy implementation.Information System AdministrationAudit the policy information system to identify intermittent errors and provide first level technical support.Escalate errors in the policy information system to Service New Brunswick (SNB) and Information Services to resolve issues in a timely manner.Inform users when there is an issue with the policy information system and provide them with updates of progress on resolutions. When resolutions are not forthcoming implement work arounds and alternative solutions.Identify improvement opportunities and collaborate with SNB and Information Services regularly to address issues.Work together with Vitalité to identify best practice.Information ExchangeCreate and disseminate a monthly newsletter containing new, revised and deleted policies.Manage the directory of regional policies.Respond to inquiries and provide copies of policies upon request.Support staff on how to effectively use and navigate Policies and Procedures page on SkylineRequest and review information on the Canadian Policies and Procedures Network.Respond to other Canadian Health Organizations best practice research.MetricsOn a quarterly basis collects and enters data to produce key performance indicator dashboards and various reports.Develop and apply queries and report on department owned custom data sets.Review statistics generated from policy information system and normalize data to ensure consistent measurement of departmental performance.Administrative DutiesRespond to incoming calls, identifies urgent matters and important inquiries, and redirects them for appropriate action.Act as a resource person: coordinates departmental workflow where required, orders, receives, and maintains office supplies with approval of manager; and ensures office equipment is maintained.Perform general administrative and departmental payroll duties.Prepare and distribute meeting materials, set up venue, document minutes, and follow-up on action items for key Committees and meetings.Applications for this position must be submitted on-line by June 30, 2021.NOTE: There will be no further postings for this position should there be no fully qualified applicants.
