Job Description

Administrative AssistantOur client, a leading law firm, is seeking an experienced Administrative Assistant specializing in Commercial Law to support its team in Montréal. This position offers a blend of in-office and remote work, following a structured hybrid schedule after the initial training period. The successful candidate will provide comprehensive legal and administrative support to two or three commercial lawyers, contributing significantly to the smooth operation of legal activities.What #39;s in it for you:• Annual salary of $54.000 to $58.000, depending on experience.• Permanent, full-time employment (35 hours per week, 5-day work week).• Hybrid Schedule: During the 1st month, the position requires full-time, in-office work. In the 2nd month, the schedule shifts to 4 days per week in the office, and from the 3rd month onward, the role will be 3 days per week in the office.• Comprehensive group insurance coverage starting from day one, fully paid by the employer for employees and their dependents: life insurance, accidental death and dismemberment, prescription drugs, dental care, vision care, extended health care, travel insurance, and disability insurance.• Employer contribution of 5% to the Registered Retirement Savings Plan (RRSP).• 4 to 5 weeks of paid vacation and leave per year.• Unlimited personal days.• 11 statutory holidays and 1 floating holiday.• Health and wellness programs: employee and family assistance program, mental health support program, and telemedicine.• $1 000 for reimbursement of wellness-related expenses.• Training and education program providing up to $1 000 per year.• Firm committed to community giving and offering pro bono legal services.• Multiple annual social events and activities.• Corporate discounts on various products and services.• Collaborative environment where team members, regardless of background, feel valued and are encouraged to share their ideas.Responsibilities:• Draft and revise legal documents and correspondence• Manage deadlines, coordinate meetings and appointments, and update calendars• Organize business trips and handle necessary reservations• Revise documents for grammar, formatting, and compliance with legal requirements and visual identity standards• Manage files and documents using storage and archiving applications, such as NetDocuments, Closing Folders, and Sharefile• Assist with business development projects and maintain the professional contacts database• Process data, including time and expenses, and open new files• Liaise with clients, colleagues, support departments, and external parties• Collaborate with billing specialists to follow up on billing matters• Transcribe dictations, audio notes, and other recordings• Perform document comparisons and “markups”• Contribute to the onboarding of new team members• Execute any related administrative tasks as neededWhat you need to succeed:• Attestation of Collegial Studies (ACS) in Legal Secretarial Studies or Diploma of Collegial Studies (DCS) in Office Systems Technology; a DCS in Paralegal Technology is an asset• 3 to 5+ years of relevant experience in a fast-paced professional services firm• Bilingual in English and French (spoken and written) to communicate with both English-speaking and French-speaking clients.• Strong knowledge of the Microsoft Office Suite• Experience with transcribing voice memos and familiarity with BigHand is an asset• Strong organizational skills, attention to detail, and a team-oriented mindset• High motivation, proactivity, and the ability to anticipate needs• Capability to manage priorities effectively and work within tight deadlines• Independence, discretion, critical thinking, and good judgmentWhy Recruit ActionRecruit Action (agency permit: AP-2000003) provides recruitment services through quality support and a personalized approach to job seekers and businesses.
