Department : Industrial, North AmericaPosition type : SalariedJoin a team of passionate peopleIn this role, you will provide essential right-hand support to the Head, Industrial, United States and Latin America.Your responsibilities will include the following:
  • Plan, organize and coordinate meetings on a daily basis within short deadlines;
  • Manage a high volume of emails;
  • Coordinate appointments, as needed, and take care of any corresponding travel logistics (hotel accommodations, transfers, car rentals, meeting facilities, catering, etc.);
  • Prepare meeting documents, presentations and correspondence, ensuring the language and the visual layout meet high quality standards;
  • Interact and build relationships with various internal and external contacts;
  • Carry out the various administrative tasks related to internal management in accordance with specified procedures (file expense reports, track billing, monitor budgets, etc.);
  • Ensure that you obtain the required signatures as dictated by established approval processes;
  • Coordinate and collaborate with other administrative and executive assistants to foster effective communication with regard to various committees;
  • Plan and coordinate the logistics for designated internal committees: book rooms, send invitations, prepare documentation, etc.
The key to success!
  • Five or more years of experience in providing administrative support at the executive level;
  • Excellent command of written and spoken French and English, especially in a business communication context;
  • Proficiency in Outlook, PowerPoint, Word and Excel;
  • Proven communication skills;
  • Strong interpersonal skills; keen sense of tact and diplomacy;
  • Meticulous, thorough and results-oriented;
  • Efficient multitasker with excellent time management and prioritization skills;
  • Ability to perform under pressure with little or no supervision;
  • A collaborative team player.
