Login to your McGill Workday account and apply to this posting using the Find Jobs report (type Find Jobs in the search bar).Position Summary:Reporting to the Associate Director (Policies and Faculty Engagement), the Liaison Officer will support the Associate Provost (Equity & Academic Policies) and the Associate Provost (Teaching and Academic Program) by planning and overseeing the organization and publicity of conferences, special events and other activities including but not limited to the Academic Leadership Forum, Faculty Matters, New Faculty Orientation and New Academic Administrators Orientation. They will manage their respective timelines, development, organizational, logistical plans, budgets, and support in communications.Primary Responsibilities:

  • Responsible for the development, planning and management of project schedules. Research and prepare background material, enlist the support of internal and external units, and ensure that timeline and deliverables are met.
  • Responsible for the promotion and development of some special projects arising from the respective Associate Provost’s portfolios.
  • Responsible to ensure communication with the Faculty and for ensuring adherence to quality, schedule, and document control procedures.
  • Maintains, reviews and updates website for accuracy (in both languages) and ensures the website continuously meets accessibility requirements and best practices.
  • Assist the Associate Provosts by attending various committee meetings, taking notes and ensuring appropriate follow up.
  • Liaison to Faculty-level Academic and non-Academic Administrators in the development of process improvement projects and initiatives to support expanded communication.
  • Perform outreach, reviews project recommendations and put them into action.
  • Research and produce reports of a confidential and critical nature on specific dossiers, functions and projects.
  • Compose, edit, consolidate and proofread briefing notes, document drafts and executive summaries.
  • Acts as the liaison with University and external units.
  • Perform research and analysis on specific issues, as required; independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential in nature.
  • Serve as a point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies on a range of specified issues; conferences, and other special events, as required.
  • Act as back-up to colleagues with respect to CRCs and the Professional Development fund.
  • Provide support when new academic units are created which may include facilitating meetings, providing and updating documents and templates, and ensuring coordination among central offices.
Other Qualifying Skills and/or AbilitiesExcellent planning, organizational, communication, and priority setting skills. Excellent interpersonal skills. Strong written and oral communication skills. Knowledge of French and English (written and spoken). Ability to manage multiple projects. Ability to establish client relationships.
