Job Description

Olds College is looking for an Administrative Officer to join the Teaching and Learning Center of Innovation team (TLCI). The Administrative Officer is responsible for assisting (TLCI) team with data collection and organization, document management, and administrative support. This position requires strong interpersonal skills, especially communication, as the Administrative Officer will liaise with students, faculty, staff, departments, and schools. The Administrative Officer is a cross-trained position with expertise and dedicated time that includes supporting the various units within TLCI, including the Test Centre, Accessibility Services, and Educational Development.Key Job Functions:

  • Provide administrative assistance to TLCI (i.e., room bookings, filing, meeting minutes, website updates)
  • Coordinate the logistical aspects of meetings and special events
  • Contribute to the ongoing assessment and improvement of office procedures
  • Provide support to the Test Centre (minimum 1 day a week)
  • Monitor and provide status reporting on TLCI process tracking documents and repositories
  • Administer TLCIs survey and course feedback tools
  • Assist stakeholders with the creation of surveys, collection and management of data, and reporting
  • Provide support for budgeting and financial functions, including managing the financial processes for subject matter expert (SME) contracts involved in program development
Education/Experience/Skills/Knowledge Required:
  • Exceptional planning, organizational, and time management skills to manage projects and priorities
  • Professional, personable, and able to work independently and as part of a team
  • Excellent communication skills and a customer service orientation
  • Ability to exercise judgment, discretion and maintain confidentiality
  • Creative problem solving and analytical skills
  • Possess excellent computer skills, as well as an aptitude for learning new software quickly
  • Proficiency with Google Workspace for Education, specifically Google Drive, Google Docs, Google Sheets, and their collaborative functions
  • Graphic design skills and the ability to use layout and design software for the purpose of creating media objects is an asset, but not a requirement
  • A post-secondary education in Business, Management, Communications, English, Office Administration or a related discipline, or an equivalent combination of education, training, and experience
