Job Description

Olds College is looking for a dynamic person to join the Conference Services team. The Conference Services Coordinator is responsible for providing high quality hospitality services, such as event and activity coordination, reception and administrative services to the Manager of Conference Services. This position will directly interact with internal and external clients in providing a full range of services to meet conferencing requirements. Key Job Functions:

  • Responsible for the coordination and servicing of all intermediate level events and activities on campus.
  • Responsible for providing support for all high-level events and activities as needed by the Coordinator of Conference Services.
  • Providing superior customer service to both internal and external clients.
  • Ability to convert client inquiries into sales and upselling clients where appropriate.
  • Data entry into the main booking system EMS, Catertrax, Starrez, all set up details, billing info and AV requirements for all base and intermediate level events and activities, ensuring that required information is distributed to the appropriate areas
  • Work with Business Services monthly to ensure all client invoices are complete and accurate.
  • Assist the Manager of Conference Services with training and guidance for Conference Services Summer Assistants on assigned duties.
  • Complete monthly statistical reports.
  • During Summer Conference season months – required to work at satellite office located in the residence building and will be required to taking reservations and payments and to check in and out conference guests. This part of the position is an extension of the normal conference services and requires the same diligent high level of customer service. So must be willing to assist guest and work closely with the caretaking team and residence services team to provide that service.
  • Provide backup reception support for the department by answering phones, responding to emails. Being present at events as needed or requested by the Manager of Conference Services. Processing payments received, preparing daily cash report, ordering office supplies, representing the department at various meetings across campus and outside of campus as required. Assisting other departments with internal events.
Education/Experience/Skills/Knowledge Required:
  • Minimum 1 year Diploma or Certificate in a Hospitality or Tourism program, or equivalent level of education.
  • Minimum 1 year experience in a related field.
  • Excellent computer skills, proficient in Microsoft Office suite and Google.
  • Experience with the use of technology such as Video Conferencing, projectors, sound systems, preferred.
  • Demonstrates superior customer service skills.
  • Demonstrates excellent telephone etiquette.
  • Ability to multi-task while maintaining a high level of service and accuracy within a fast-paced environment.
  • Ability to foster excellent professional relationships with clients and departments on campus.
  • Availability to work evenings and weekends as the events dictate.

  • Live in Olds or the immediate surrounding area due to potently being call in for emergencies during events
