Job Description

Olds College is looking for a six month temporary Research Administrative Officer to join the OCCI team. Olds College Centre for Innovation (OCCI) oversees all applied research initiatives at Olds College. In alignment with the college’s Growing 2025 strategic plan, OCCI and Olds College Smart Farm (OCSF) have expanded the college’s capacity to deliver applied research in crop production, livestock production, environmental stewardship, and smart agriculture and technology integration. The research program is a $5 million to $7 million annual portfolio involving funding from numerous federal and provincial grants, fee for service contracts, donations, and other revenue sources.The research administrative officer provides a high level of professional, confidential administrative and organizational support related to applied research and knowledge transfer activities. The Research Administrative Officer will demonstrate superior communication skills, high level of attention to detail, and the ability to work efficiently in high-traffic and high-pressure environments. This position is a key individual in a cross-functional team environment where service standards are expected to be of top priority.Key Job Functions:

  • Develop and manage a process to effectively collect and report on key performance metrics for applied research activities (e.g.: active projects, number of partners, revenue generated, etc.)
  • Support management of accounts payable/receivable documentation, contracts and cheques and prepare purchase requisitions and invoices for processing.
  • Manage and process project agreements and contracts in accordance to the College’s established processes and workflows
  • Support processes required for acquisition and procurement of supplies and equipment required for research operations and project activities
  • Support processes required to effectively manage research projects (e.g.: time tracking, metric tracking, asset management, etc.)
  • Provide senior level support for incoming telephone calls, correspondence, requests for information, etc. and provide accurate information to all inquiries (students, visitors, staff, clients, etc.)
  • Cross training required to accommodate coverage of other staff absences as required by manager.
Education/Experience/Skills/Knowledge Required:
  • A minimum of two-year college certificate or diploma in Office Administration or another related service area.
  • A minimum of 5 years front line work experience in a fast-paced environment with a proven focus on exceptional customer/client service. Experience in a post-secondary research environment is considered an asset.
  • Must be proficient in the Microsoft Office suite of programs including Word, Publisher, PowerPoint, and Excel, as well as Adobe Acrobat Professional.
  • Proficiency in all Google Apps, particularly Email, Calendar and Drive would be a definite asset.
  • Strong technical skills as well as an aptitude for learning new software quickly.
  • Ability to manage financial transactions with a high level of internal controls ensuring accuracy, completeness and proper controls in cash handling, the segregation of duties, and reconciliations.
  • Required to multi-task as a variety of duties will be required in addition to fielding calls and in person inquiries from students, staff and visitors on a continuous basis.
  • Must be able to work in a team environment and work independently as required.
