Perform a variety of tasks relating to the scheduling of training courses and notification of training to participants, supervisors and instructors utilizing the Hydro One Learning Management System (HOLMS). Maintain training records and produce a variety of reports. Provide word processing, page layout and other clerical support in the production of training material. Process Purchase Requisition Requests (PReq) within SAP for master material items and invoice payments. Maintain sufficient levels of stock for courses. Work with department staff to set future training schedules. Process administrative forms. Maintain department files, including the Company's documentation file system.Specific Accountabilities:Perform a variety of tasks related to the scheduling of training courses and notification of training staff, participants and supervisors. Monitor training schedules by confirming attendance of all participants at scheduled courses. Resolve any difficulties such as double bookings and similar problems. Prepare certification documents as necessary.Input training schedules and maintain training records via HOLMSMaintain adequate levels of training manuals for courses by photocopying or arrange for reproduction of materials from printing service providers.Operate various drawing, word processing, and desktop publishing/page layout programs to prepare training material in accordance with department standards.Prepare invoice requisitions for all external training and services provided. Liaise with Ministry of Labour Training and Skills Development (MLTSD) to provide information on training dates, times, names and numbers for apprenticeship programs. Provide training results to the Ministry following course completion.Handle queries for the department on administrative matters from the Company’s customers and external clients (e.g., Municipal Electric Association (MEA) Utilities and contractors)Respond efficiently to the department’s telephone hotline and e-mail account by assisting or redirecting callers, to meet customer requirements.Maintain required filing for department. Maintain electronic records for all master training manualsCreate Purchase Requisitions in SAP for RFP’s, invoice payment and material ordering (includes receipting in SAP)Update and maintain driver training and signing authority information and files for internal staffSelection CriteriaEssential Knowledge:Requires knowledge of scheduling concepts to organize appropriate training courses, dates, facilities, and associated trainers and employees.Requires knowledge and proficiency of Microsoft Office applications (Outlook, Word, Excel) in order to perform word processing, page layout, data input and maintenance, to produce training material and various reports.Requires knowledge and proficiency of creating Purchase Requisitions in SAP for RFP’s, material orders, etc.Requires knowledge of English to communicate effectively, both orally and in writingThis knowledge is considered to be acquired either through the successful completion of Secondary, Commercial or Technical School or by having the equivalent level of education.Requires experience to be familiar with the organization contacts, policies, procedures and standards relative to training course scheduling, material, equipment, visual aids, reports and records maintenance.Requires experience to be familiar with graphic standards for training aids and with methods of producing training aids in print, audio or visual form.A period of up to two years is considered necessary to gain this experience.Note(s):Hydro One Employees please apply using the On-Line Job Application Form OR forward your application to the Vacancy Management Office, TCT 08, FAX 416-345-6230.
