There is a constant high volume of inquiries from clients, employers and community partners on a wide variety of issues. The incumbent must possess the ability to think quickly and have excellent multi-tasking skills to succeed in this fast paced, demanding environment requiring the juggling of multiple priorities and a variety of expectations. The CSA must have excellent customer service skills, possessing the capacity to effectively assist clients, and ability to work under the pressure of meeting various requests and inquiries from the public. NOTE: This position is 5 days per week, including one evening.Responsibilities:Client ServiceEnsure clients are supported in a timely and empathetic manner, understanding barriers and confidentiality issuesProvide a welcoming greeting, answer telephones and direct messages/inquiries appropriatelyComplete client intake and book clients into Employment Consultant appointments, workshops and community partner appointmentsResource Room Client AssistanceProvide clients with an orientation to the Resource Room and our servicesProvide clients with the resources necessary to independently develop current and relevant resumes and cover letters; critique and proofread resumes and letter styles and coach clients on current formatsRefer clients to appropriate in-house and external community resources for more in-depth assessment or assistance if neededAssist clients in researching and compiling job and career related application documentationAssist clients with computer sign-in, faxing and photocopyingAssist clients in using MS Office suite and online resources as neededEnsure all clients using resources are engaged in appropriate job search activitiesEdit all job postings and other relevant materials before adding to websiteAdministrationMaintain reception area, including stocking of pamphlets, keeping all information up-to-date, and ensuring area is tidyCreate appointment and monthly workshop schedules, maintain lists of workshop participants, call participants to confirm their attendanceKeep client information updated in the Integrated Case Management Provincial databaseResponsible for maintenance of paperwork and files required for Career Centre clientsTake room bookings for workshops, meetings and facilities requested by other service providersMaintain smooth working operation of multi-line telephone system, photocopiers, printers and fax machineCompile month-end data for statisticsProvide support to facilitators including word processing, phone calls, data entry, photocopying, filing and maintaining reports for statistical purposesApply technical troubleshooting in the Resource Room as neededEnsure strict adherence to client confidentiality and other professional codes of conductEnsure Career Centre marketing materials are available to other agencies
