Job Description

Title: Administrative Assistant - TLCDepartment: Tszil Learning CentreStatus: Full time PermanentReporting to: Tszil DirectorClosing Date: July 28, 2022Summary of Duties:The Ts’zil Learning Centre Administrative Assistant will provide assistance to Ts’zil management team.Key Deliverables and Expectations:

  • Maintain regular prompt attendance at the Ts’zil Learning Centre.
  • Coordinate meeting travel and accommodation as needed
  • Assist with accounting activities (e.g, preparing cheque requisitions items into eRequester, recording payments and issuing receipts….etc.)
  • Perform typing, data entry and word processing as part of a wide variety of requests from the Manager of Advanced Education, Manager of Trades, Training and Employment, Manager of Operations and the Director of Ts’zil
  • Order office equipment supplies, textbooks and materials of the Ts’zil Learning Centre
  • Put in work orders for repairs
  • Manage room rental invoicing
  • Booking room rentals for programs, events and meeting happening here at Ts’zil
  • Entering timesheets for temporary employees, party-time employees, SD48 ISW’s and summer students in Payworks
  • Manage and maintain all student files and records in Payworks
  • Events
    • Keep event calendar up to date in front office
    • Correlating invoices with calendar events
    • Assist in setting up events, when required
    • Coordinate catering, student lunches, request quotes for catering and process payments
  • Assist the Ts’zil Management team with their day-to-day administrative tasks.
  • Perform other related duties as requested.
Experience and Attributes:
  • Grade 12 completion
  • Outstanding written and verbal communication skills in the English language.
  • Ability to work independently and as an integral member of various teams.
  • Strong organizational skills, meticulous attention to detail and time management skills.
  • Ability to meet deadlines prioritizes assignments, manage multiple tasks simultaneously and maintain confidentiality.
  • Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint.
  • Motivated self-starter and with strong interpersonal skills.
  • Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members.
  • Ability to lift 15 lbs
