For CUPE postings please refer to Article 9.01 (d) of the CUPE Collective Agreement to ensure you have met the eligibility requirements to apply to CUPE competitions.Employment Status Full Time Employment Type Regular Job SummaryReporting to the Manager, Student Success and Retention, this position provides administrative support for student success and retention areas. This role also provides direct front desk services to students, staff, and the public.Specific Duties

  • Provides administrative support for student success and retention initiatives
  • Performs reception services, answers inquiries from students, staff, faculty and the public
  • Compiles reports and statistics for Student Services functional areas including Ministry reporting as requested.
  • Assists with the coordination of workshops, meetings or presentations and prepares supporting materials, etc.
  • Receives, prepares, stores confidential information pertaining to students
  • Provides a professional, positive customer service approach toward faculty, staff, students and the public
  • Understands students and staff may be at all levels of emotional range when entering the Student Services dept.
  • Triages all requests and determines whether scenarios constitute an urgent/crisis response or appointment
  • Responsible for booking appointments online and in-person between student services staff and students.
  • Maintains online booking system, zoom registrations and CNC Job board for student services department
  • Records and distributes agendas and minutes of meetings as requested in an accurate and timely manner.
  • Assists Student Services functional areas with financial account reconciliation, i.e., C-card reconciliation.
  • Receives and manages all departmental mail, correspondence, filing, scanning and photocopying.
  • Ensures departmental promotional material (brochures, autoresponders and webpages) is reviewed and updated
  • Coordinates information gathering for retention initiatives, to create efficiencies and improved services to students
  • Creates and maintains standard operating procedure manual for position.
  • Ensures submission of employee vacation, illness, professional development forms and/or schedules as required.
  • Initiates travel, printing and cheque requisitions, requests for leave and room bookings as requested.
  • Monitors and maintains inventory of supplies
  • Manages and coordinates student CILS College and Institute Library Services for the Accessibility Advisor
  • Develops and maintains the Accessibility Services student exam accommodation report for students accessing services in the Academic Success Centre.
  • Assists Accessibility Services to complete documentation for external agencies including the Ministry, Student Aid BC, and Assistive Technology BC
  • You will be part of a team actively engaged in contributing to and accomplishing the vision, mission, and goals of the College and supporting the aspirations and needs of our learners and communities.
  • You will promote a positive work atmosphere and communicating in a professional manner that demonstrates mutual respect with students and colleagues.
  • Other related duties as assigned by the Manager, Student Success & Retention
Skills & Qualifications
  • Recognized two (2 ) year diploma in Two (2) year post-secondary diploma or post-secondary education.
  • 2 years or more Minimum (2) years of relevant experience in a post-secondary setting or equivalent combination of education and work experience with adult learners.
  • Demonstrated understanding of the post-secondary education system, particularly in relationship to service to students, colleagues and the public, preferred.
  • Demonstrated ability to triage and appropriately refer people in distress
  • Ability to maintain confidentiality, and privacy requirements.
  • Proficient in a student record system (Colleague preferred), database management,
  • Proficient in word processing, excel, PowerPoint, e-mail, online bookings, internet research, webpage maintenance
  • Proven ability to gather, analyse, integrate and summarize material, and provide accurate information
  • Excellent communication skills (both verbal and written) with the demonstrated ability to communicate courteously and effectively with staff, faculty and students
  • Maintain a philosophy of service excellence.
  • Excellent interpersonal skills.
  • Keyboarding skills of 50 wpm with precision and accuracy
  • Attention to detail, with a high degree of accuracy in proofreading and editing
  • Proven ability to maintain positive working relationships
  • Excellent organizational skills including the ability to prioritize.
  • Physical ability to meet the demands of the role.
