Job Description

Overview: Reporting directly to the Director, Health and Holistic Services, the Administrative Assistant I (non-union) provides secretarial, administrative, and reception support to all departments. This position is responsive to all staff and clients.The Sunset Community provides care and support to adults with persistent and chronic psychological and/or physiological disabilities. This is accomplished through a licensed group home (Driftwood Cottage), vocational services (Sunset Enterprises, Sunset Industries), and an Adult Residential Centre.This position is a 12-month temporary to cover a vacancy, with the opportunity to extend.Why choose the Sunset Community

Principal Responsibilities
  • Booking participant appointments based on availability of vehicle fleet and staff. Maintain shared calendar, vehicle logs, and trip planning binders.
  • Maintain yearly bloodwork schedule for all participants and creating lab requisitions at regular intervals. Maintain an examination history database and update medical charts for participants based on consult information.
  • Prepare client envelopes for upcoming specialist and doctor visits/appointments. Support the Manager, Health Services on doctor day with organizing and preparation for their day.
  • Obtain quotes on medical equipment, placing and tracking of orders, and ensure a full stock of clinical and personal supplies.
  • Complete funding requests for ambulances, optometry, and other types of care. Entering Trust Invoice Batch. Prepare and deposit all Industries deposits.
  • Maintain inventory and tracking of participants glasses, compression stockings, CPAPS, and other personal assistive devices.
  • Partake in weekly PCR meetings for participants and complete relevant documentation in a timely manner.
  • Conduct monthly MARs check for participants to ensure proper documentation in med admin, and ensure that nurses have signed all MAR pages and that MARs adhere to licensing requirements
Secondary Responsibilities:
  • Prepare OAS/CPP/GIS forms and mail in applications for those eligible. Complete all participants tax returns.
  • Renew participant healthcards, birth certificates, SIN cards as required.
  • Edit, format, and/or create memos, documents, and complete other admin tasks from Manager, Health Services
  • Maintain a safe, stocked, and organized personal supplies storage room and ensure the health center is full stocked.
  • Other duties as assigned by the Director, Health & Holistic Services, Manager, Health Services, or the Manager(s), Holistic Services
Minimum Qualifications:
  • Must have graduated highschool or received a G.E.D.;
  • Must be proficient with computers, including full use of Microsoft Office;
  • Preference given to those with related post-secondary education.
