Job Description

THE OPPORTUNITY AWAITS YOUREAL finds itself in the enviable position of managing one of the most interesting and versatile connected spaces in North America with an opportunity to impact the lives of millions by creating life-long memories and delivering exceptional experiences.The Scheduler is responsible for all administrative aspects of the scheduling process within Regina Exhibition Association Limited. This position is responsible for scheduling staff to fill the operational staffing requirements as determined by management. Responsibilities include preparing, maintaining, and distributing accurate and up-to-date work schedules, ensuring adhering to collective bargaining agreements, relevant legislation, and corporate scheduling processes. The Scheduler is integral to ensure staff resourcing meets optimal customer service levels and quality standards as through effective two-way communication with the management team by providing ongoing internal communications on load balancing, workforce planning requirements and attendance support matters. The position supports successful implementation of improvements to processes, tools and technologies and service quality of the corporate operations.WHAT YOU WILL DOResponsible for all administrative aspects of scheduling by preparing, maintaining, and distributing accurate and up-to-date work schedules, ensuring adhering to collective bargaining agreements, relevant legislation, and corporate scheduling processes by:

  • Maintaining and organizing the availability process for employees not receiving their maximum hours and/or employees who do not have a regular schedule, receives all availability forms.
  • Calling staff and filling shifts for replacement of leaves of absence and other schedule adjustments.
  • Prepares and distributes staff schedules according to management and collective agreement requirements.
  • Maintain up to date, organized, confidential and secure personnel information related to contact information, skills, seniority lists and classification lists.
  • Ensures schedules are completed and confirmed within the appropriate timelines.
  • Process staffing/ schedule changes as provided by managers/ supervisors or designates.
  • Inputs scheduling templates and completes daily data entry for scheduling changes.
  • Confer with department managers or delegates to assess progress and discuss needed changes.
  • Work with other departments on the basis of “cross training” to fill staffing requirements throughout the grounds.
  • Assists managers/supervisors in drafting schedule templates for various departments and provides historical scheduling data for scheduling decisions to be made.
Performs other duties as defined and assigned on an as and when required basis.The block(term) will begin April 1, 2024 with an undefined end date: Weekly Schedule: Thursday - Sunday 8:00am-4:30pmRequirementsWHAT IT TAKESApply today if you meet the following requirements:
  • Grade twelve (12) education and Office Education diploma/certificate.
  • Experience with highly demanding telephone conversations and etiquette.
  • Experience scheduling and working with collective bargaining agreements.
  • Demonstrated ability to work efficiently in a computerized environment with practical knowledge of Microsoft Office including Word, Excel, Outlook.
  • Ability to provide excellent customer service to staff, managers, and vendors/volunteers even in times of stress.
  • Ability to work well in a fast-paced environment, and quickly adapt to change.
  • Strong time-management skills and a proven track record of delivering quality results, with attention to details within tight timelines.
  • Experience working in a unionized environment is an asset.
  • May work odd or long hours at a time to complete operational requirements, projects or to participate in or coordinate evening and off-hour activities.
  • Must be able to obtain and maintain a satisfactory Criminal Record Check for the duration of employment.
  • Note that this position is an in-scope position under the RWDSU Collective Agreement.
