Job Description

The Ministry of Corrections, Policing and Public Safety is responsible for:Overseeing Saskatchewan #39;s correctional system and facilities; andProvide guidance and support to Saskatchewan #39;s municipal police services.The Custody, Supervision and Rehabilitation Services (CSRS) Division is responsible for the implementation and operation of adult and youth offender services in Saskatchewan as defined by The Correctional Services Act and the Youth Criminal Justice Act (YCJA).The Policing and Community Safety Division is mandated to help keep communities safe and maintain public order and safety in Saskatchewan by ensuring that effective policing and private security programs uphold the rule of law and protect the rights of individuals. The ministry also works closely with the RCMP to support law enforcement activity in rural Saskatchewan.The Opportunity The Deputy Minister’s Office, Ministry of Corrections, Policing and Public Safety is seeking highly organized and detail-oriented administrative professionals to join us in the role of an Executive Coordinator for the Custody, Supervision and Rehabilitation Services Division. If you enjoy high-level administrative work that is fast-paced and diverse, working in a team environment with exceptional corporate culture on significant strategic priorities, and you are an experienced leader in administratively operating, managing, and maintaining a dynamic office, then we welcome you to apply.The Executive Coordinator will provide administrative support to an Assistant Deputy Minister as required by: Managing calendars through collaboration, prioritization and scheduling;Assembling all briefing and background materials in preparation for meetings;Monitoring and redirecting information and requests to team members;Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events;Monitoring administrative processes and making improvements to ensure optimum efficiency;Drafting, recording, proofreading and/or editing a variety of correspondence in accordance with Government of Saskatchewan (GOS) visual identity standards;Participating in and coordinating management meetings including drafting and distributing agendas; recording minutes; and tracking and monitoring action items to ensure timelines are met;Managing incoming and outgoing correspondence ensuring proper distribution;Maintaining manual and electronic filing, bring forward and records management systems;Verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance;Compiling expense information and preparing budget reports for review; and,Ordering supplies and handling office equipment repairs and furniture replacement. Located in the Deputy Minister’s Office, you will be part of a team of Executive Coordinators supporting executive-level leadership in the Ministry and will provide back-up support as needed. Ideal CandidateThe ideal candidate will be an experienced senior administrative professional who is:Independent and confident with the ability to organize, prioritize and proficiently complete multiple tasks while dealing with frequent interruptions and tight deadlines;Proficient in managing budget activities and monitoring office expenditures;Approachable and collaborative in order to build strong working relationships;An exceptional communicator both verbally and in writing; Innovative and creative in their work;Thorough and accurate to ensure quality work; and,Adaptable in order to meet new challenges as they arise.
