Job Description

RoleReporting to the Division Manager, the Project Assistant is responsible for providing support in various clerical and administrative tasks aimed at ensuring the smooth operation of the organization and efficient project delivery. The Project Assistant collaborates closely with the Division Manager and Project Managers, as well as communicates with internal and external stakeholders. Additionally, they handle data processing tasks that contribute to project cost and schedule tracking throughout the initiation, execution, and closing phases of projects.Responsibilities

  • Approval of timesheet tracking data to active projects.
  • Supporting in the update and reconciliation of project data in project tracking and cost tracking software to allow for project forecasting.
  • Draft, edit, format, and organize project controls and scheduling documentation.
  • Project folder maintenance on SharePoint.
  • Work as part of a project team.
  • Manage onboarding process for contract QEWs/electricians
  • Coordinate onboarding procedures for new contractors
  • Facilitate integration into client enterprise info system
  • Handle IT requests for physical access, laptops, phones, network permissions, and software
  • Manage procurement and distribution of PPE and/or base equipment
  • Oversee contract management for projects
  • Provide invoicing support
  • Conduct first-line review and approval of invoices
  • Assist with work scheduling for contractors
  • Address customer issues beyond client customer service representatives #39; scope
  • Manage turnover documents including Quality Assurance/Quality Control (QA/QC) processes
Requirements
  • High School Diploma is required
  • Minimum of 2 years of experience in an administrative role
  • Proficient computer skills for general day to day tasks
  • Proficiency in all Microsoft Office applications including MS Outlook is required
  • Proficiency in Microsoft Teams and intermediate MS365 Functions would be an asset.
  • Proficiency in PDF files formats and Adobe Acrobat and/or other PDF Software
  • Knowledge of operation of standard office equipment is required
  • Knowledge of clerical and administrative procedures and systems such as filing, bookkeeping and general organization of office documents and equipment
