You will be the first point of contact for our clients and visitors, and you will provide administrative support to our employees. You will answer phone calls, greet guests, schedule appointments, handle mail, and perform other administrative duties. This requires organization, creativity, active listening, and a superior level of professionalism.You are Great at:

  • Ability to thrive in a busy executive corporate office environment while juggling a multiline phone system and acting as a first point of contact for our clients, guests, and employees (inclusive of property management, vendors and building security)
  • Perform an extensive array of administrative tasks, including managing meeting room calendars, shipping and receiving and mail distribution, maintaining office supply inventory, ordering office and kitchen supplies, updating operating manuals etc.
  • Maintain the professional appearance and general organization of the reception and mailroom
  • Partner with key stakeholders within the office (i.e., Executive Assistants, Finance, IT, Marketing, Sales) to align and meet business objectives
  • Support the coordination and logistics for large meetings and events such as executive meetings, and QBRs, and assist the setup, including catering (delivery) and/or room preparation, as time allows.
  • Work closely with the Facility Administrators and security teams ensuring services run.efficiently and effectively
  • Work closely with other Receptionists to ensure consistency of service delivery.
  • Input Facilities requests (work order) into the building management online ticket system for security, repairs and maintenance and follow through to completion where applicable.
  • Support with ad hoc projects (including space management), while always maintaining aquot;best in class quot; experience
  • Identify and implement opportunities for improvement, including processes and procedures
  • Other assigned projects and general administration tasks as required.
What It Takes:
  • 4+ years of administrative support or front desk experience
  • A completed course in facilities management would be an advantage
  • College / University degree/certificate or equivalent work experience
  • Highly proficient in MS Office Suite (Word, Excel, Outlook)
  • Possesses excellent verbal/written communication and interpersonal skills.
  • You are detail-oriented and have excellent organizationalamp; time management skills.
  • Ability to interface and communicate with all levels of the organization, strong customer service focus.
  • Provide a positive experience to our customers, clients, and employees alike
  • Demonstrated ability to work collaboratively as part of a team
  • Must demonstrate a desire to embrace learning and take initiative
  • Ability to be discreet and handle confidential, sensitive information.
  • Flexibility to work overtime, as needed
