Job Description

The Administrative Assistant will ensure that information and communication flow quickly to all who contact the location. This position has a direct impact on the company’s ability to efficiently provide the best customer service and positive image.

  • Support effective communication by answering all incoming calls and promptly routing them.
  • Answer electronic inquiries.
  • Administer and manage inbound and outbound mail, including priority post, packages, courier services, and other correspondence.
  • Photocopy, scan and organize documents for distribution, mailing, binding and filing.
  • Act as a first point of contact and provide general information to staff, clients, and the public relating to their questions, concerns, or suggestions.
  • Ensure the necessary supplies are ordered and available when and where they are needed. Ordering supplies that support events, including lunches and supplies for meetings, etc.
  • Prepare travel schedules, book travel arrangements, and make reservations for senior management as needed.
  • Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders.
  • Ordering uniform shirts for all employees and keeping track of their purchases as per uniform policy.
  • Bank deposit
  • Organize special events such as the Christmas party, luncheons, etc.
  • Maintain an organized reception area.
