POSITION TITLE: Office ClerkREPORTS TO: Executive AssistantThe Rural Municipality of Rosser is located adjacent to the northwest side of Winnipeg, is part of the Winnipeg Metropolitan Region, and is dedicated to providing services to the landowners and residents, as well as potential developers. This RM has a vibrant agriculture community and thriving commercial area known as CentrePort.Rosser, Grosse Isle, Meadows, Marquette, Gordon and Lilyfield are some of the communities within the RM.Position DescriptionIn collaboration with Municipal Staff, the Office Clerk is responsible for all reception duties, meeting agendas, event confirmation and planning, data recording, lagoon invoicing, incoming and outgoing mail; also drafting of communications notices for the website and communication system, and inputting into our customer contact program.The successful candidate will have excellent interpersonal, administrative, organizational, analytical, problem-solving, communication, report-writing, research, and time management skills; excellent computer skills utilizing Microsoft Office; and knowledge and experience with accounting software and document management systems.Duties: · Performs receptionist duties, such as answering phones and in-person inquiries, including re-direction.· Receipts monies received.· Handles faxes and photocopies.· Preparation of tax certificates.· Prepares council agenda, including scanning of documents and uploading to All-Net Meetings program.· Maintains meeting reminders and documents on All-Net program.· Circulate and post the meeting minutes.· Maintains the municipal website, including updating municipal information and uploading documents.· Responsible for drafting of communication notices· Responsible for imputing into the customer contact program· Completes confirmation and registration for conferences and seminars attended by Council and staff.· Arranges meetings for Council and CAO.· Responsible for location booking, food and refreshments for council meetings or any municipal events.· Maintains property information, including ownership changes and building permits data.· Responsible for review and preparation of lagoon reporting and invoicing.· Assist with preparation of invoices for account payable inputting.· Responsible for incoming and outgoing mail.· Responsible for preparation and mailing or emailing of all bulk information to ratepayers· Assists with preparation and mailing of tax notices.· Accepts office deliveries and orders office supplies.· Performs clerical duties including typing and data recording.· Responsible for computer backups and answering machine.· Maintains filing system.· Cleans and maintains supplies for photocopier and computer equipment.· Assures the municipal office is maintained in a neat and orderly fashion.· Performs other related duties as assigned.Requirements / Competencies: · Graduation from a college computer, accounting technician, administrative Assistant program or equivalent combination of training and experience.· Excellent computer skills in word processing, database management, webpage posting and electronic communication software.· Excellent oral and written communication skills.· Above average analytical and organizational skills.· Manage multiple tasks and prioritize· Excellent team work skills.· Diplomatically and effectively interacts with all employees, ratepayers and citizens.Authority: Authority to make decisions such as:· To screen telephone calls and visitors as required and directed by the Chief Administrative Officer.· To redirect calls to the appropriate municipal employee or other jurisdiction.· To contact employees who do not have access to the telephone system.Equipment: · Computer network, Windows XP, Microsoft Word, Excel, Outlook and Muniware accounting programs, All-Net Meetings, Access E11 Program and Connect Program· Avaya telephone system.· Microfiche machine.Working Conditions: · Front reception area.Works With: · Municipal Council members.· Citizens and ratepayers of the Municipality.· All employees of the Municipality.· Customers via telephone and visits to the office.Please submit your cover letter and resume in confidence by Friday, February 11, 2022 by 12:00 p.m.We thank all who apply and advise that only those selected for further consideration will be contacted.Job Type: Full-timeSalary: $17.44-$19.34 per hourSchedule:
