Job DescriptionTecho-Bloc is currently seeking an Executive Administrative Assistant for our Sales Team located at our Saint-Hubert Head Office. This position will be responsible for providing a high level of support to the Sales Director - USA, while maintaining company-wide best practices in responding to internal and external inquiries, developing and maintaining excellent relations with all employees, clients, and other stakeholders. We are looking for a highly organized planner with strong communication skills and systems driven. We’re looking for someone who is upbeat, detail-oriented and ready to take on new challenges.   • Plan and execute seasonal departmental projects as outlined by the senior executives’;
  • Manage the Sales Director - USA calendar and perform general administrative and office support such as organise meetings, appointments and take meeting minutes;
  • Draft team communications and plan and organise events, both internally and offsite;
  • Prepare and review reports, presentations and correspondence;
  • Assist in monitoring and processing of approvals to ensure compliance with internal policies;
  • Create, export and review reports to ensure data accuracy and compliance
  • Participate in process improvements and recommend more efficient and streamline processes if necessary;
  • Develop and update SOP and processes and communicate those to the team;
  • Act as a first point of contact for the Sales Representatives and provide the support they required;
  • Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including; hotel booking, transportation and meal coordination;
  • Collate, review and process expense reports in Concur;
  • Maintain the CRM data base on a weekly basis;
  • Handles matters expeditiously, proactively, and follows-through on projects to successful completion meeting deadline;
  • Other miscellaneous tasks to support the executive.
Qualifications
  • Post-secondary diploma in a related or transferable discipline;
  • 5+ years of professional experience supporting a corporate executive;
  • Advanced proficiency in Microsoft office: Advanced level in Excel is a must have;
  • Excellent bilingualism (French and English), both oral and written - Due to frequent communication with clients in Quebec, Ontario and the United States;
  • Ease and familiarity with SharePoint and an ERP system (knowledge of Microsoft Dynamics AX is an asset);
  • Positive attitude and customer focus;
  • Ability to multitask, coordinate prioritize and follow up in a timely manner;
  • Consistently deliver high-caliber, accurate work with a high degree of attention to detail;
  • Strong organizational skills;
  • Exercise mature judgement, professionalism and discretion in handling confidential and sensitive information and situations;
  • Self-starter, resourceful with the ability to work with minimal supervision.
