Job Description

In this role, in addition to the administrative tasks necessary for the proper functioning of College management, the incumbent will be responsible for the following areas of activity:

  • Participate in the development of the College management work plan;
  • Participate in elaborating procedures;
  • Prepare, collect and verify data and information, and produce texts or tables useful for decision making;
  • Draft memos, letters, reports, and other correspondence such as press releases and posts on social media accounts;
  • Update information on the College’s website;
  • Collect, research, and process data or information for the purpose of proposing actions, solutions, executing them, or implementing them;
  • In collaboration with the Coordinator of Administrative Services, maintain, analyze, and see to administrative operations related to the Director of the Constituent College and Director of Studies’ budget;
  • Compile statistics and create reports to support decision-making or as requested by the Director of the Constituent College and Director of Studies;
  • Maintain the agenda of the Director of the Constituent College and Director of Studies, set and confirm appointments and meetings of the management team;
  • Prepare monthly travel expense reports;
  • Prepare the agenda, send meeting notices for administrative meetings and see to the logistics. Prepare draft resolutions and draft minutes and/or meeting notes for the Governing Board and Commission of studies meetings;
  • Act as a liaison to coordinate the dissemination of information with College management, external agencies, committees, commissions, or councils on behalf of the Director of the Constituent College, Director of Studies;
  • Act as secretary of the College’s Governing Board and Commission of Studies: prepare the agenda, the documentation for the meetings, and drafting the minutes of the meetings;
  • Communicate with internal or external people to seek information or communicate decisions made by the Campus Director;
  • Collaborate with the organization of events and promotional activities for the College;
  • Respond to telephone, email inquiries, and in-person inquiries;
  • Other related tasks to support the Director of the Constituent College, Director of Studies.
Requirements :QUALIFICATIONSWhat are we looking for in this position
  • 6 or more years of relevant experience;
  • Great attention to detail;
  • Show confidentiality;
  • Political savvy;
  • Excellent communication skills;
  • Ability to establish interpersonal relationships and to work in a team;
  • Proficient in English and French, both oral and written;
  • Proficient with the Microsoft Office Suite;
  • Ability to work with online platforms;
  • Knowledge of the Cégep network.
