Job Description

JOB SUMMARY:UNDER THE GENERAL AUTHORITY OF THE DEAN OF ACADEMIC SYSTEMS AND THE DIRECT SUPERVISON OF THE RECORDS MANAGER, PROVIDES TECHNICAL SUPPORT FOR THE REGISTRAR’S OFFICE.DUTIES AND RESPONSIBILITIES:

  • Analyze, interpret and implement new Ministère de l’Enseignement supérieur (MES) transmission directives
  • Prepare student records for transmissions
  • Ensure the transmission of all student data to the MES for Continuing Education and summer school including permanent code requests/modifications
  • Process and transmit grade changes, comprehensive assessments and course objectives and evaluations (SU/EQ/DI)
  • Analyze, validate and correct SOCRATE/CLARA transmission reports for Continuing Education and summer school including commandites
  • Prepare statistical reports
  • Assist with day registration
  • Responsible for Summer School registration
  • Collaborate with other technicians in the Registrar’s Office regarding transmissions and student records
  • Oversee the daily operations of clerks in the Registrar’s Office
  • Responsible for all aspects of registration for Continuing Education evening courses
  • Liaise with Continuing Education AEC Program Coordinators regarding operational aspects of some AEC programs
  • Write and update Records procedures/processes, and assists with staff training
  • Liaise with Academic Advising regarding course evaluation requests and summer school
  • Assist/maintain program and course information on SOBEC database
  • Participate in the creation of the schedule of classes for Continuing Education
  • Respond to enquiries and Omnivox messages from staff and students
  • Update system parameters and maintains Continuing Education course management in Omnivox
  • Perform any other related tasks as requested
QUALIFICATIONS:Education:To have a college diploma in an appropriate specialty or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority.Specific Requirements:
  • French (Intermediate written, written comprehension and oral)
  • English (Advanced written, written comprehension and oral)
  • Computer skills (Microsoft Office, Word & Excel)
  • High degree of accuracy
  • Logic and analytical skills required
  • Knowledge of the CEGEP system an asset
  • Ability to work under pressure
  • Good communication skills
  • Ability to organize work
Testing may be required to demonstrate knowledge of:
  • Word (basic)
  • Excel (intermediate)
  • French (Intermediate written, written comprehension and oral)
  • English (Advanced written, written comprehension and oral)
  • Problem solving and analytical skills
