Job Description

IMPORTANT: Effective immediatelyJOB SUMMARY: under the direct supervision of the manager of Continuing Education – centre for continuing education, to perform various administrative tasks for the services of the centre of continuing educationDUTIES AND RESPONSIBILITIES:

  • Provide efficient administrative support to the program coordinators and managers of various educational programs and courses, including Recognition of Prior Learning services, such as supporting the application process, updating wait lists, contacting prospective students, organizing and preparing documents for information sessions, scheduling interviews, assisting in the preparation of test materials, organizing, invigilating and scoring computer aptitude tests, etc.
  • Answer phone, email and in-person inquiries politely and efficiently in English and French
  • Assist the manager in the archiving of documentation
  • Act as the first point of contact to the students enrolled at the Centre for Continuing Education and refer students to the relevant resource person if required
  • Provide general admission and course/program information
  • Process bi-weekly time management and TEPA personnel reports (absence, overtime, vacation)
  • Create and manage departmental requisitions and invoices
  • Assist with the planning and supervision of testing sessions for program applicants
  • Prepare AEC attestations and other certificates
  • Assist in the planning and organization of special events (graduation ceremonies, welcome ceremonies)
  • Liaise with the Registrar’s Office, Financial Services, ITS, Security and other College service units
  • Develop a schedule to carry out the above listed activities independently in a timely and efficient manner
  • Participate in departmental meetings
  • Perform other relevant tasks as may be defined by the Manager
QUALIFICATIONS:Education:To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority and have at least one (1) year of pertinent experience.Specific Requirements:
  • Minimum 3 years of pertinent experience preferred
  • Proven track record in general office procedures
  • Excellent written and oral communication skills
  • Ability to deal politely, efficiently and effectively with people
  • Strong organizational skills
  • Proven track record to work independently and under time pressure
  • Overtime and late work may be required on occasion
  • Knowledge about Continuing Education programs, courses and processes an asset
  • Ability to work with CLARA and SOCRATE systems an asset
  • Ability to demonstrate/apply a high level of confidentiality to all tasks
  • Basic French and Advances English ability
  • Word (intermediate) and Excel (basic) knowledge
Testing may be required to demonstrate knowledge of:
  • French (Basic oral)

  • Excel (basic)
