Job Description

As a member of the Smithers Community Services team, you are fully engaged in your work, you take personal responsibility for your experience with the Association, you are a professional who operates from a place of ethics and integrity and you are prepared to evolve, change and grow as a result of working here.PROGRAM: Christmas HampersPOSITION: Coordinator (shared position)PROGRAM SUMMARY:The Christmas Hamper program provides food, toys, grocery vouchers and books for families and individuals in need at Christmas. We serve the communities of Telkwa, Smithers and Witset.POSITION SUMMARY:The Christmas Hamper Coordinator is responsible for organizing all aspects of the Christmas Hamper Program; collecting goods, recruiting and organizing volunteers, ensuring the hampers are delivered on time.REPORTING RELATIONSHIPS:Reports To: Executive DirectorDirect Reports: NonePRIMARY RESPONSIBILITIES:

  • Update and print all required applications, letters, registration lists and forms required.
  • Set up the process for receiving hamper applications and having them entered regularly in computer database (in conjunction with SCSA and Witset Admin staff)
  • Handle all enquiries regarding the program
  • Ensure full public awareness of the program by putting up posters, media interviews, newspaper stories, and faxes or emails to all service providers and all relevant organizations.
  • Locate and make arrangement for the establishment of the depot including hookup of phone service, setting it up with equipment and supplies, signage and layout.
  • Recruit volunteers, schedule their activities, keep records of their addresses.
  • Record and store cash donations made at the depot and bring to SCSA ensuring that SCSA Admin staff has any information they require.
  • Keep the depot tidy and organized.
  • Arrange the collecting, sorting, purchasing and packing of all food and toy donations.
  • Assist in handling enquiries from media and public and perform necessary public relations duties.
  • Collaborate with the multiple organization conducting public events supporting the Hamper program.
  • Organize and facilitate the delivery or pick up of all hampers.
  • Complete a program report and review in the following January and updating the procedure manual as needed.
  • Complete other related duties as required.
QUALIFICATIONS:Education & Training
  • Related post-secondary training and a minimum of two years experience in a similar position or a combination of relevant training and experience.
o Related training could include:ï‚§ Volunteer Management DiplomaSkills and Abilities
  • Well-organized who can work well with continuous interruptions and high pressure.
  • Comfortable working with the media.
  • Work independently with little supervision showing creativity, and initiative, while also being able to blend in quickly with the SCSA Admin team.
  • Have great compassion and sensitivity to the clients of their program.
  • Possesses excellent written and verbal communication skills.
  • Budgeting and Volunteer Management experience and good paper management skills.
  • Intermediate Level 2 Technical Computer skills required.
  • Demonstrated ability to interact positively with SCSA board, staff, clients and the public in person and over the telephone.
Working Conditions
  • In November the hours are flexible and move to full time in December, reducing again in January during the clean-up and reporting phase.
  • Work requires moderate level of physical effort and/or dexterity, e.g. using or moving medium weight (5-10 kg.) equipment or materials, reaching overhead, bending/stooping, lifting, etc.

ADDITIONAL REQUIREMENTS:
  • Be familiar with and adhere to the philosophy, policies and procedures of the Association.
  • Represent the Association positively and professionally at all times.
  • Understand and be committed to terms of confidentiality, and sign a pledge of confidentiality.
  • Undergo a Criminal Record Search as and when required by the Association
  • Actively participate in regular performance evaluations.
  • Possess a valid Class 5 Driver’s License.
