Job Description

The person in this position will manage and create documentation, forms and other systems. The ideal candidate for this position must be a proven leader and have the ability to handle multiple tasks in a fast-paced environment. In addition, this person will support the objectives of the organization through the management of all administrative functions of the company. This position will report to the General Manager.Company: Goderich & Exeter Railway Inc.Work location: Guelph/Stratford, ONStatus: PermanentResponsibilities:The administrative assistant will perform the following duties:

  • Communication with both internal and external personnel in person, by telephone or through correspondence, handling all information in a confidential manner.
  • General accounting responsibilities (accounts payable, accounts receivable, payroll and other accounting related tasks).
  • Detailed record keeping ensuring all employee qualifications, medicals and training are up to date.
  • Prepare invoices by coding, obtaining authorization and keeping good records of it.
  • Prepares Excel spreadsheets for; fuel, labor stats, guarantee payments & other financial tracking.
  • Customer and employee relations/communication.
  • Ensure working hours from the hourly employees have proper approval upon submission.
  • Assists with the compiling of information for annual business plan/assists with monitoring railroad financials against plans.
  • Arrange travel, social gatherings and meetings.
  • Prepares business presentations as requested by departments using, Microsoft Power Point, storyboarding, and other various suitable methods.
  • Work on special projects.
  • Will be required to perform other administrative duties as requested, directed or assigned.
General Requirements:
  • High School diploma or equivalent is required
  • Office administration degree is an asset
  • Minimum of two (2) years’ experience in an administrative position.
  • Strong skills in Microsoft Office, Excel and Power Point
  • Strong analytical and communication skills both written and spoken.
  • Self-reliant and demonstrate a strong sense of responsibility.
  • Ability to work with confidential information.
